About the Role

Administrative assistant responsible for supporting the Real Estate Accounting and Payables & Revenue Accounting functions. This role provides support for the functional leaders with schedule management, business meetings, email support, coordination of travel arrangements, completing expense reports, as well as other general center event coordination in collaboration with other functional administrative assistants, Facilities business partners and the CSSC Security team.

What You'll Do

  • Manage calendars, schedule/manage monthly/quarter/year-end Close meetings. Oversee the CSSC schedule, resolving calendar conflicts.

  • Manage inventory and order stationary supplies, business cards, etc. for the CSSC.

  • Assist with onboarding; Partner with HR on all transfers, new hires, and terminations/asset returns

  • Assist with onboarding new hires, including equipment, drive access, tech setup etc.

  • Invoice and PO management for department and center-wide expenses. This includes monitoring of the Forecast and the Monthly Expense Reports.

  • Prepare quarterly journal entries for department/center expense reclasses.

  • Handling emails, reports, invoices, and related documents, including sensitive and/or confidential information.

  • Plan and coordinate center-wide events, including town halls, special events, employee recognition activities, holiday functions, etc.

  • CSSC and Department Town Halls: Facilitate the coordination, planning and content of onsite town halls. Consolidate and prepare the presentation of these events.

  • Liaison for internal and external Gap Inc. employees and external guests visiting the CSSC. Assist with room scheduling, hoteling, Wi-Fi guest access and facilitate other special needsequests.

  • Assist with registration for conference/seminars and prepare travel for these events.

  • Schedule domestic and international travel, process expense reports.

Who You Are

  • Admin or Assistant experience; working within a large, matrixed organization

  • Strong written and verbal communication skills and ability to communicate and interact across teams and at varying levels of management

  • Proficient in MS office software (Outlook, Teams, PowerPoint, Word, Excel) and Adobe Acrobat.

  • Demonstrated professional judgment in resolution of calendar conflicts, interaction with demanding business partners.

  • Excellent organization and follow-up skills with high attention to detail.

  • Ability to work well under pressure and navigate multiple deadlines and competing priorities

  • Proactive approach to problem-solving; operate with a bias for action

  • Ability to work well independently and in collaboration with others

  • Event planning and coordination/schedule management
