Job Summary

The Michigan Medicine Care Management Department is looking for a team player with a positive outlook and flexible "can-do" attitude to join our team as an Administrative Assistant Senior. Responsibilities involve supporting the leadership team, working with information of a highly sensitive and confidential nature, managing calendars, scheduling meetings, answering phones, maintaining electronic and conventional files (including blue folders), completing invoices and accounting, payroll processing. In addition, the AA Sr. will interpret policies and procedures and ensure compliance with university policies and bargained for contracts.

Supervision Received

This position reports to the Associate Director, Department of Care Management, with additional matrix supervision received from the Senior Director, Department of Care Management.

Responsibilities*

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  1. Provide calendaring support for the department leadership team.

  2. Provide time management support by prioritizing and responding to calendar requests, pro-actively anticipating needs and planning accordingly.

  3. Will require independent judgment as to priorities and effective use of time, preparation of documents and conference agenda items, and summaries to assist or initiate action.

  4. Provide administrative support to our Care Management leadership team and staff including staff payroll processing and invoice processing.

  5. Provide general office support including but not limited to perform office duties including, but not limited to email distribution, outgoing email preparation, data entry, photocopying, scanning, faxing, travel arrangements, preparation of expense reports and P-card reconciliation, provide telephone coverage if needed and file/maintain electronic and physical files.

  6. Maintain open communication with fellow team members.

  7. Participate in regular team meetings.

  8. Promote a welcoming, organized, efficient and professional office environment.

  9. Work with diverse teams at all organizational levels across a large, decentralized organization.

  10. Support Care Management Department leadership as appropriate.

Required Qualifications*

  1. Associate's degree or equivalent combination of education and experience. 4+ years of experience.

  2. Excellent interpersonal skills, including a positive, responsive, service-oriented attitude

  3. Several years of progressively responsible administrative support experience.

  4. Experience with computer programs such as Microsoft Office & Teams, Google Suite, Dropbox and Zoom; interest in and ability to learn new software applications and share data via various mediums.

  5. Strong oral and written communication skills; the ability to write clearly and concisely for various mediums; finalize correspondence, business letters, summaries, and reports.

  6. Able to utilize tracking and follow up skills to monitor and coordinate a large volume of work, process invoices and complete timecards.

  7. Demonstrate attention to detail and organizational skills.

  8. Able to work under pressure when a high degree of accuracy is required.

  9. Demonstrated experience with scheduling/meeting management.

  10. Demonstrate ability to prioritize and complete tasks in a timely manner.

  11. Ability to work independently and cooperatively as part of a team; demonstrated ability to build positive and productive relationships with individuals at various professional levels (faculty, staff, etc.).

  1. Excellent problem solving and decision-making skills.

  2. Experience with payroll/timecard processing

  3. Proven analytical skills and follow-through; a high degree of creativity, initiative, resourcefulness, and the ability to anticipate needs.

  4. Ability to handle complex projects simultaneously.

  5. Demonstrated adaptability to changing priorities and deadlines and effectively collaborating with leadership.

  6. Ability to perform highly responsible, administrative duties using independent judgment and professionalism.

  7. Experience working within University of Michigan system applications (OneStaff, Wolverine Access HR, Concur, Wolverine Access Financials, Finance BI, SchedulON, etc.)
