The Center for Curatorial Studies, Bard College (CCS Bard) seeks a highly organized, adaptable, and collaborative administrator for the role of Graduate Program and Exhibitions Assistant. Founded in 1990, CCS Bard is a dynamic exhibition and research institution and the graduate program—an intensive, two-year course of study—sits at its heart.

The Graduate Program and Exhibitions Assistant provides essential administrative support for the exhibition, academic and public programs that comprise CCS Bard’s vibrant cultural and intellectual life. They also play an important and forward-facing role in the daily operations of CCS Bard’s administrative offices.

This is a full-time role on site at CCS Bard in Annandale-on-Hudson, NY, working a Monday-Friday schedule and reporting to the Director of the Graduate Program and Graduate Program Administrator. Occasional evenings, weekends, and holidays may be required for special events, programs, and exhibition openings.

Primary Responsibilities:

  • Participate in the planning and daily administration of the graduate program by maintaining the academic calendar, assembling and distributing course materials, setting up Google Classroom, making space reservations for classes and faculty office hours, assisting students with course registration, and processing student records, among other tasks

  • Along with other administrative staff, help oversee the CCS Bard offices by answering the main phone line, responding to email inquiries, greeting visitors, receiving and sorting mail, managing shipments of exhibition catalogues and publications, addressing IT and equipment needs, ordering and maintaining office supplies, general filing and organization, and other administrative responsibilities

  • Collaborate with graduate program staff on recruitment efforts and prospective student outreach, tours, and communication

  • Coordinate travel arrangements for visiting faculty, staff, artists, lecturers, and art couriers in support of CCS Bard exhibitions and public programs, and help arrange for fee payments and travel reimbursements as needed

  • Generate payment requests and purchase orders related to the graduate program and exhibitions, and work with CCS Bard staff to track expenses

  • Make credit card purchases for the graduate program and exhibitions, compile receipts, and reconcile spending at the end of each month

  • Participate in organizing and staffing public programs, exhibition openings, special events, and other Museum functions

  • Provide assistance to the Director of the Graduate Program & Chief Curator in preparing exhibition materials, such as checklists, research files, loan agreements, and slide presentations

  • Assist with the onboarding of new faculty and the orchestration of new student orientation

  • Other duties as assigned

Qualifications:

  • Previous administrative experience

  • Ability to organize large amounts of information, prioritize tasks, manage deadlines, and juggle multiple responsibilities effectively

  • Strong written and verbal communication skills

  • Excellent attention to detail

  • Ability to work effectively both independently and as part of a team

  • Proficiency with Mac OS, Google Workspace (Docs, Sheets, etc.), and Microsoft Office (Word, Excel, etc.)

  • Familiarity with art and enthusiasm for cultural organizations

  • Ability to work occasional evenings and weekends as needed for special events and exhibition openings

Compensation: $50,000-$55,000

This salary range reflects the College's good faith and reasonable estimate of the compensation for the position at the time of the job posting. Salary decisions are dependent on several factors including but not limited to market and organizational considerations, experience, and qualifications of a selected candidate as well as internal and external equity.
