Titan America Innovation PMO Assistant in Athens, Greece

TITAN Cement Company is currently looking for an Innovation PMO Assistant. The role is placed within the Group Research, Innovation & Quality (GRIQ) corporate department, reporting to the Group Head of R&D and is located at TITAN Kamari Cement Plant, in Greece.

The Innovation PMO Assistant is responsible to provide general administrative support to the GRIQ team, as well as support projects management and reporting. The role involves contributing to financial administration of operations, as well as the coordination of events and meetings. Furthermore, the role assists with data collection and analysis, as well as the preparation of relevant documents and presentations. The Innovation PMO Assistant actively supports the preparation and submission of grants, in addition to tracking research spending and maintaining updated timesheets. To achieve their role, the Innovation PMO Assistant collaborates with other functions and units within the organization, as well as with external partners, to support operations, realize innovation projects, as well as ensure compliance with regulations and contractual obligations.

What you will be doing

  • Support and contribute to all administrative aspects relevant to the efficient and unhindered operation of the GRIQ department, including general administrative tasks and facility management.

  • Organize and schedule meetings, prepare and distribute minutes; follow up on items as needed.

  • Organize events and gatherings, including workshops, meetings with partners or similar activities.

  • Prepare purchase requisitions and expense claims; handle invoices and draft contracts in collaboration with team members and colleagues from other departments within the organization.

  • Review, file and distribute mail and correspondence, as well as maintain records of all ingoing and outgoing correspondence (refers to non-email, or digitally tracked correspondence).

  • Track contracts, grants, agreements and documentation associated with internally and externally funded projects. Participate in the preparation of project reports and support timely delivery and distribution.

  • Support and contribute to carefully tracking project budgets and expenditure according to internal and external guidelines and requirements. Record personnel time allocation and assist with the preparation of relevant timesheets (for reporting purposes only).

  • Contribute to updating of operational manuals, data collection forms and websites associated with department activities. Maintain records of scientific publications and reports; support the enrichment of internal knowledge repositories.

  • Other responsibilities include: manage calendars for the GRIQ team, prioritizing appointments and proactively resolving conflicts; make travel arrangements including transportation and accommodation, as well as provide travelling directions and information to colleagues and partners; answer and direct phone calls; assist in the preparation of regularly scheduled reports; develop and maintain a filing system; update and maintain office policies and procedures; order office supplies and research new deals and suppliers; organize and track shipments of samples, equipment or other items of interest; maintain contact lists; submit and reconcile expense reports; provide general support to visitors.

    What you will bring

  • Bachelor’s Degree in Business Administration, Science, Engineering, Social Sciences or relevant.

  • Working experience of at least four (4) years in relevant position.

  • Demonstrated experience on all aspects of project administration, including tracking progress, monitoring expenditure and planning.

  • Very good writing competence, with focus on preparation of minutes, reports and other documents.

  • Strong organizational skills including attention to detail and multi-tasking.

  • Very good working knowledge of Microsoft Office and PC skills.

  • Fluent in English and in at least one other EU language.

  • Demonstrated experience on event coordination.

  • Working experience of laboratory information management system (LIMS), or SAP/ERP systems will be considered positively.

  • Technical understanding and/or hands-on experience in cement and concrete technology will be considered positively.

  • Military obligations fulfilled.
