Position Summary

The Manager of Space Planning is responsible for strategic planning and analytics of physical space in support of space management enterprise-wide to include the development and maintenance of a new Space Management System. The Manager will also direct space planning initiatives, space assignment, modification, and evaluation of academic, clinical, research, and administrative facilities usage.

General Duties:

  • Facilitate the development of strategic space-planning scenarios and space plan options of varying scale and complexity; Ensure project plans and schedules align with priorities, expectations, and space guidelines.

  • Develop, revise, and maintain space metrics reports; Negotiate space reassignments with constituents.

  • Manage requests for additional space; Identify vacant or inappropriately used space; Carry out site surveys to collect and confirm space data and related information; Maintain listing of all requests and vacant space.

  • Coordinate and oversee asset and occupant additions, changes, and moves to/from units; Develop move plans, and sequences group level moves and relocations. Creates project objectives and schedules, work scope, and financial estimates, and obtain management approval.

  • Generate reports related to space utilization; Enter information into online mapping and/or GIS Systems to ensure that all maps and floor plans are accurate and up-to-date; Maintain ongoing and timely information on renovation projects.

  • Maintain space and building occupancy databases and reports in an electronic facility management system; Ensure floor plans are accurately recorded in the system.

  • Identify, develop and monitor policies and procedures for space allocation and planning; Keep abreast of federal, state, and institutional regulations, laws, and policies.

  • Work with vendors, staff, and relevant university stakeholders to solve problems.

  • Design and conduct needs analyses, planning and studies to improve space utilization efficiency and allocations; Gather data and conduct space utilization and cost analyses for shared space, classroom utilization, research space, off-site space, etc., to inform the space planning process.

  • Analyze space/population projections to ensure optimal uses and locations for existing and proposed space needs; Prepare Master Plan of physical facilities which may identify major land uses, building sites, location of utilities, flood control, parking, recreational spaces, and community impact.

    Knowledge, Skills, Abilities:

  • Knowledge of Geographic Information System ( GIS ) and Computer-aided Design ( CAD ), principles, practices, and methods of Space Management, building codes, and related state and federal regulations.

  • Knowledge of furniture systems and layouts; Knowledge of Basis of Design, building, ADA , and Fire, Life, and Safety codes.

  • Advanced Knowledge of Microsoft and Apple operating systems, AutoCAD, Adobe Creative suite, Archibus, and other related software; Proficiency in Microsoft Office Suite (i.e., Word, PowerPoint, Excel, Outlook).

  • Skilled in analyzing a variety of data, detail, and task oriented; ability to manage and perform a variety of routine and complex assignments; Ability to maintain large amounts of detailed project information in an accurate and timely manner.

  • Skilled in leading projects and data reporting in architecture, engineering, construction management, design, and/or higher education; Ability to manage multiple complex and large projects simultaneously while coordinating competing demands and priorities.

  • Demonstrated analytical, critical-thinking, research, and problem-solving skills; Ability to interpret, analyze, and apply pertinent policies, procedures, regulations, and.

  • Demonstrated ability to build and maintain respectful and productive business or professional relationships with various stakeholders.

  • Ability to develop innovative solutions, services, products, processes, or programs.

  • Demonstrated assessment, interpersonal, networking, and oral and written communication skills; Excellent time management skills and organizational abilities.

  • Ability to serve in a leadership and/or guidance role, with demonstrated networking, organizational, scheduling, and planning skills.

    Minimum Qualifications

  • Education: Bachelor’s Degree in Architecture, Urban Planning, Interior Design or related field.

  • Experience: 5-7 years of Experience with computer-aided facility management systems, space databases, Microsoft and Apple operating systems, and computer networking

    Preferred Qualifications

  • Experience providing professional space management services that guide the physical development of a university, institution or similar organization, experience assisting in strategic development and improvements of buildings and space, to support an organization’s mission.

Immunization Requirements

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption.
