Chenega Services & Federal Solutions, LLC, a Chenega Professional Services ’ company, is looking for a Program Assistance II to support the Division of Workforce Development (DWD) who provides leadership in science, public health practice, and education. This position shall provide administrative and programmatic support services.

Responsibilities

  • Perform administrative duties to include answering the phone, maintaining files and records, managing calendars, filing, copying/scanning/faxing documents, room scheduling, preparing material for FedEX, or regular mail, data entry into systems. (i.e., VSTS, Purchase Card System, IFMS, TasNet, CAMS, ICAP, CCAP) and division floor plans.

  • Serve as alternate data entry specialist entering data into the system Integrated Conference Approval Portal (ICAP). Coordinating DWD conference requests and issuing notifications, as well as division priority conference notifications.

  • Serves as alternate property custodian for the division.

  • In-process new employees by gathering onboarding information to update systems and assist with the coordination of the security process, visitor passes, and other requirements for new and existing employees, contractors, and visitors.

  • Submit requests into a variety of CDC electronic bases systems such as ICE (procurement requests and invoices), Concur (Travel) TASNet (Time and Attendance), MACCS (purchase card), STARS (Study Tracking and Reporting System), IAN (Inter-Agency Agreements), NCAMS (Non-U.S. Citizen Access Management System), e-QIP, etc.

  • Responsible for DWD mail sorting and distribution

Qualifications

  • Bachelor’s degree in a relevant field

  • 2-4 years of experience

  • Strong project management, project coordination and prioritization skills,

  • Ability to recognize client needs,

  • Exceptional organizational and collaboration skills.

  • Capable of taking direction and being adaptable to change.

  • Excellent verbal and written communication skills

  • Attention to details and deadlines ensuring effective task management.
