The Maine Bureau of Veterans’ Services is excited to hire for an Office Specialist I with our Maine Veterans’ Memorial Cemetery System in Augusta. This position is responsible for providing clerical support for the Maine Veterans’ Memorial Cemetery System to assist veterans and their families throughout the burial process, from establishing eligibility to aiding our most honorable citizens to their final resting place. This position is responsible for performing a variety of complex tasks, requiring independent judgment and action, including making frequent decisions in accordance with department policy and procedures.

Primary responsibilities include:

  • To assist families with grave marker applications, to verify eligibility, print and mail eligibility certificates.

  • To place office order needs.

  • Ordering grave markers, headstones, and niche-wall markers through the National Cemetery Administration’s (NCA) Burial Operations Support System (BOSS).

  • To ensure gravestones are properly distributed to each cemetery weekly and on time.

  • This position oversees the internal operations of data entering information into Bureau’s client-management systems.

  • Running reports to ensure NCA guidelines and policies are met.

  • Provide backup for the other administration staff throughout the Maine Veterans’ Memorial Cemetery System, scheduling burials, answering phones for cemetery related questions.

  • Assist in compiling and proofing yearly wall of name updates.

  • Provide secondary coverage for ordering and maintaining inventory, paying invoice and plot allowance.

Skills or knowledge required:

  • Required to pass federal background check to access NCA’s BOSS program as a condition of employment.

  • Ability to work with grieving family members in a compassionate and professional manner.

Minimum qualifications:

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.
