Vista Equity Partners Management, LLC Events Team Administrator in Austin, Texas

Vista is looking for a highly organized, high energy Events team Administrator to support its growing Events team with day-to-day operations. This role will assist with administrative tasks for the Vista Events team, and act as support for the team, to ensure that the team runs smoothly and efficiently, and that all team members are enabled to perform at their best.

Sitting within Vista’s consulting group and reporting to the Head of Events, this is an exciting opportunity for an expert Administrator to join a growing team where they can leverage their talents to support a dynamic group of events practitioners producing best-in-class corporate events around the world.

  • Provide administrative support to 6 team members, to include seamlessly managing and coordinating event stakeholder meetings across internal and external groups

  • Focus on process and practice improvement initiatives to drive operational excellence, including event calendar tracking and updating event best practice documentation

  • Manage event supply inventory

  • Organize team documentation and ensure all team members have up to date materials and knowledge (i.e., best practices, contract and invoice processing, etc.)

  • Work with event team lead to support onboarding of new team members. Schedule onboarding sessions and ensure materials are up to date and saved in the appropriate locations

  • As needed, and as bandwidth permits, provide onsite event support for team, including help with onsite registration and providing logistics support

  • Minimum 2 years’ proven experience either in an office management or executive assistant capacity, including supporting senior level executives ideally within a consulting, private equity, investment banking, law firm or professional services organization.

  • Event planning and execution experience preferred.

  • Must possess personal tact, discretion and good judgment.

  • Excellent interpersonal, written and verbal communication skills.

  • Strong sense of urgency, adaptability, flexibility and resourcefulness.

  • The ability to function professionally under pressure, while managing multiple concurrent projects and deadlines.

  • Excellent organizational skills, including ability to successfully prioritize and re-prioritize in a fast-paced, ever-changing environment

  • Proven competencies in software applications and programs, particularly Microsoft Office, including Excel, Word, Power Point, and Outlook. Excellent word processing and file management skills.

  • Interest in analyzing how to improve processes and procedures for operational efficiencies

  • Willingness to travel occasionally to various locations for events; up to 10%, including some weekends
