Job/Position DescriptionThe Staff Services Officer performs complex staff services work for the Strategic Initiatives Program. Work involves planning, coordinating, and performing administrative support to the Strategic Initiatives Division. The position has limited supervision and considerable latitude for the use of initiative and independent judgment. Functions may require coordination with other divisions, sections, units, and other state and federal agencies, legislative staff, private entities, stakeholders, and the public at large. Develops, coordinates, and maintains filing and routing systems. Coordinates and schedules meetings and staff travel, including conference registration, reservations, as well as pre-pay and reimbursement processing. Responsible for all purchasing to ensure that staff have needed supplies and equipment on a timely basis and managing equipment malfunctions to ensure limited disruption to staff work. Essential Job FunctionsPlans, coordinates, and performs work in several staff services functions such as human resources, accounting, budgeting, purchasing, training, payroll, and records.and#149; Serves as a liaison between the Office of the Chief of Staff and Time and Labor, Payroll, Budget, DFPS Human Resources, and Services HR Staff.and#149; Collaborates and works with Human Resources office on an assortment of staffing and hiring issues for Strategic Initiatives division.and#149; Interacts with Budget regarding projections and expensesand#149; Collaborates with DFPS Records Management Office to ensure compliance with records and retention policy and procedures.and#149; Coordinates and handles necessary and required training for Strategic Initiatives division.and#149; Interacts with HHS Payroll, Time, Labor and Leave for payroll related issues.and#149; Handles purchasing needs and requests for the Strategic Initiatives division, as necessary.Plans and coordinates special and administrative assignments and programs.and#149; Provides professional administrative and technical assistance to the Strategic Initiatives Director and team members.and#149; Manages team memberand#146;s calendars.and#149; Coordinates meetings, conference calls and webinars for division.and#149; Plan and coordinates administrative support and assignments for Strategic Initiatives team.Coordinates varied records processing activities requiring the application of well-defined policies and procedures.and#149; Develops assignment tracking tool for Strategic Initiative Division.and#149; Manages division calendar with key deadlines and sends reminders to staff, as needed.and#149; Manages the flow, tracking, and quality review of documents and correspondence for the division while ensuring compliance with agency policies and proceduresProvides technical assistance across several staff services functions; coordinates activities among management and staff in identifying issues and facilitates appropriate action.and#149; Tracks assignments, provides reminders, and consolidates responses, as needed, to address and handle issues and facilitate appropriate action for the division.and#149; Tracks timelines and due dates for decision items, reports, memo, etc.Prepares, edits, and distributes correspondence, reports, forms, and documents.and#149; Prepares agendas, meeting notes, and materials.and#149; Attends division meetings and records meeting notesand#149; Compiles and formats correspondence, and special reports as requested.and#149; Prepares, routes, and tracks executive level correspondence for approval and dissemination.Develops and maintains records and filing systems, which include performing record https://jobshrportal.hhsc.state.tx.us/ENG/CareerPortal/job_profile.cfm?szOrderID=588030 Copy the URL in the preceding sentence to an Internet Explorer browser to apply to the job directly through the Texas Health and Human Services Career Portal.
