Bangor Savings Bank Retail Lending Administrator Assistant in Bangor, Maine

FUNCTION: Working under the direction and guidelines established by the Mortgage Operations management, the Mortgage Operations Administrator Assistant assumes responsibility for fulfilling all monetary transactions and general ledger reconciliation and serves as the vendor relationship administrator with all Closing agents ensuring service level agreements are adhered. Assists in ensuring that the Bank is in compliance with secondary market standards, as well as, all bank and regulatory requirements. Completes risk management and performance measurement tasks assigned by management in a timely manner. Adheres to Critical Staffing Plan when necessary to ensure that all departmental service level agreements are met.

ACCOUNTABILITIES:

  • Completes all monetary transactions associated with loan closing, denial or withdrawn loan files including balancing and funding closings, processing and reconciling general ledger entries.

  • Ensures all government funding fees are remitted and government guarantees are received within the appropriate time frames for each agency.

  • Completes all monetary transactions associated with construction loan, improvement loan and loans with insurance loss claims, processing and reconciling associated general ledger entries.

  • Provide leadership with weekly updates on the status and progress of outstanding improvement loans and loans with insurance loss claims.

  • Responsible for the addition of new closing agents and the assurance that all applicable approval documentation is accurately completed, executed and retained

  • Tracks and monitors Errors and Omissions insurance for all active closing agents to ensure that their insurance is current.

  • Creates and distributes monthly informational newsletter for closing agents.

  • Monitors legal documents outside of established service level agreements, follows-up and provide timely communication to ensure receipt.

  • Handles and tracks all closing agent escalations.

  • Reviews and follows up on all closing agent post closing errors including final title policies and recorded mortgage deeds to ensure they are being delivered within the established service level agreements.

  • Produces and disseminates monthly performance closing agent scorecards including meeting with firms that are not performing to an acceptable level.

  • Recommends closing agents for suspension or removal of approved status.

  • Handles special projects including but not limited to system testing, procedures, reports, and system updates.

  • Assists Mortgage Originations Leadership to implement new processes.

Compliance and Control:

  • Assists in ensuring that the Bank is in compliance with local, state and federal regulations

  • Assists in ensuring that the Bank meets Secondary Market standards

Knowledge/Skills/Experience Requirements:

  • High school diploma or equivalent required. 2 year College, business or banking professional training/experience preferred.

  • 2-3 years banking experience with focused in mortgage lending regulations, processes and secondary market requirements.

  • 2-3 years of experience in outbound customer service communication with proven ability to assist customer/vendor in meeting requirements.

  • Strong written and oral communication skills.

  • Basic knowledge of accounting principles.

  • Strong ability to multi-task in a fast-paced environment with defined deadlines

Physical Demands/Conditions Requirements:

  • General office environment.

  • Moderate lifting (to 35 lbs.) required. Moderate reaching, walking, sitting and standing required.

  • General office equipment.
