Job Description
The Office Manager will provide administrative and operational support to the Bogotá office. The ideal candidate will have a proven track-record of excellence in office management, with strong planning skills and business management principles, as well as experience with financial tracking, planning, and expensing. We are looking for a candidate with previous experience working in a fast-paced office environment, performing office and events management, and providing support to a highly diverse team.

Solid working knowledge of office processes, computer software (Microsoft Office Suite), electronic communications tools (Slack), and knowledge on expense platforms (Concur) and related processes
Primary Responsibilities
Oversee day-to-day operations across multiple offices in the LAC region, ensuring all facilities run smoothly.
Manage the procurement of office supplies including stationary, snacks, and refreshments, ensuring stock levels are maintained.
Provide administrative support for senior leadership and teams, including scheduling meetings, managing calendars, submitting work-related expenses for 4 senior leaders and organizing documents.
Maintain accurate records and files for office expenses, contracts, and travel.
Manage relationships with local vendors and service providers for office supplies, IT, cleaning, and facility maintenance.
Manage contracts, negotiate pricing, and oversee facility improvements as needed.
Oversee and manage the office operations budget for each location, ensuring cost efficiency.
Process office-related invoices and payments by working closely with the finance team to ensure proper budgeting and reporting.
Plan and manage company events and team-building activities for offices across the region.
Coordinate travel arrangements, including flights, accommodation, and logistics for regional staff.
Liaise with IT teams to ensure all offices have the necessary equipment and technology.
Troubleshoot basic IT issues and coordinate with local IT support for more complex needs.
Organize social events and team activities to promote employee engagement and team cohesion.
Actively participate in maintaining the office culture by implementing initiatives that reflect company values.
Create a welcoming and inclusive office environment.
