Fortive Corporation Facilities Coordinator / Office Administrator in Bonita Springs, Florida

We are looking for a dynamic and enthusiastic Office Administrator/Facilities Coordinator to join our team. The FRS work environment is agile where there are daily standups and constant communication within each self-managed cross functional team. The ability to communicate effectively with the Professional Services Team and Helpdesk Support team, along with all other department leads is key to the success of the role.

Primary Responsibilities

Office Administrator

· Welcome visitors, identify the purpose of their visit, and direct them to the appropriate department; maintain a visitor log for security purposes.

· Keep inventory of office and event supplies, order materials as needed, and maintain stocks of coffee and snacks in the break room.

· Coordinate and set up food for customer training events, company meetings and other special occasions; handle breakdown and clean-up after meals and at the end of the day.

· Assist Training and Events departments with tasks related to office events and meetings, including monitoring and maintaining inventory of training materials, shipping books to customers, setting up training rooms, and creating certificates.

· Scan, print, and email documents as requested by employees and guests.

· Manage Shipping and Receiving, including receiving routine mail, handling package shipments, notifying recipients, and preparing UPS shipments.

· Take and deliver messages.

· Assist with clerical tasks from different departments as needed.

Facilities Coordinator

· Coordinate building space allocation and layout changes.

· Coordinate facility upgrades and construction processes.

· Manage workspace setup and ensure required equipment for new and existing employees.

· Manage equipment receipt and installation.

· Meet with contractors and landlords to organize construction projects.

· Meet with vendors to guide deliveries.

· Coordinate and maintain the security access system, allocation of badges, and ensure compliance by employees and visitors.

· Ensure adherence of staff members to building policies and procedures.

· Inspect the building for cleanliness and coordinate cleaning with contractors.

· Review and respond to staff concerns and building issues related to critical systems.

· Maintain building standards as applicable by law and regulation.

· Maintain the Storeroom/Shipping area in an orderly manner.

Order equipment as needed and/or as requested.

· High school diploma or general education degree (GED) required. Associate's degree in Business Administration preferred, but not required.

· 2-3 years of clerical, secretarial, or office experience. Facilities experience preferred, but not required.

· Proficient computer skills, including Microsoft Office and Google documents.

· Polished verbal and written communication skills.

· Comfortable with routinely shifting demands, showcasing adaptability in both office administration and facilities management.

· Proven customer-facing skills with a customer-centric approach to both administrative and facilities tasks.

· Attention to detail, strong organizational skills, and an absolute focus on the quality of work, ensuring both office and facility operations run seamlessly.

· Proven ability to engage across corporate functions, collaborating effectively with Sales, Marketing, Customer Support, Professional Services, and Product Management.

· A positive, self-starter attitude and a desire to exceed expectations in both administrative and facilities coordination responsibilities.
