Job Description:

Position Summary:

Human Resources Co-op

Greets applicants, employees and visitors. Answers telephone calls and directs them to appropriate personnel. Responds to questions relating to employment opportunities, benefits and new hire information. Maintains employee records and performs general secretarial duties. Provides administrative support to the Vice President of Human Resources and the HR team.

  • Answers incoming calls, takes and relays messages. Provides callers with routine information regarding Human Resources policies and procedures.

  • Greets applicants, employees, volunteers, and other visitors. Provides information to applicants relating to employment opportunities, paperwork, ID badges, benefits information, parking and other related Human Resources information.

  • Maintains files and hospital personnel records. Locates, retrieves and delivers materials from personnel records as requested.

  • Completes employment verification forms and types various correspondence relating to employment matters.

  • Orders and maintains office equipment including fax and copy machines.

  • Maintains and organizes copy room equipment and storage.

  • Sorts and distributes incoming and outgoing departmental mail. Distributes received faxes to appropriate staff.

  • Coordinates orientation and ID badge processing for new hires as needed

  • Coordinates I-9 Identification process; maintains files, verifies documentation.

  • Schedules employment interviews, completes telephone references (if applicable), and produces correspondence letters for job candidates and new hires.

  • Assembles and reviews new hire paperwork for completeness, including I-9 verification and CORI forms. Follows up with new hires regarding incomplete or missing paperwork. Submits completed paperwork to recruitment team for final approval to ensure employee is cleared to work.

  • Files and maintains employee paperwork.

  • Assembles and organizes new hire orientation including agenda, scheduling, attendance, distribution materials.

  • Works on HR projects as assigned.
