Job Summary

The Newsroom Coordinator provides broad operational support to the News organization. This role serves as a key connector in day-to-day business operations, expense-related processes, and office/department coordination.

Responsibilities
  • Serve as point of contact for viewers who reach out to the network, providing timely responses and excellent customer experience.
  • Facilitate timely payments to vendors through oversight of the full lifecycle of Oracle iProcurement, including setting up new vendors, creating Purchase Order (PO) requisitions, receiving invoices, and reconciling accounts. Partner with Accounts Payable (A/P) to resolve open issues and assist with monthly A/P upload, as needed.
  • Manages relationships with key vendors to ensure critical services remain uninterrupted, including responding to inquiries from vendors on payment status, and investigating and resolving discrepancies.
  • Assist and participate in the management and enhancement of News department expense-related processes, including pulling and/or assembling expense reports, vendor sales tax exemptions, tracking POs, invoices, and other expense-related processes; performs related analyses as needed.
  • Run and distribute daily Nielsen ratings reports to the News12 leadership team.
  • Maintain petty cash process for the department, including quarterly reconciliation and cash replenishment.
  • Process on-air talent reimbursements; monitor allowance against budget.
  • Plan and coordinate local and/or divisional events and initiatives, such as monthly/quarterly meetings and holiday events.
  • Assist with the Emmy Awards submission process; partner and coordinate with cross-functional colleagues and the vendor to ensure timely submission and payment.
  • Partner with Facilities and Procurement teams on department space planning and the purchase of office equipment and supplies; assist with hardware and software requests for new hires as needed.
  • Provide guidance to staff on business processes and inquiries as needed.
  • Serve as point of contact for video duplication and for identifying links to videos in applicable repository (i.e., news12.com, archive). Coordinate duplication and/or distribution with operations staff.
  • Support projects and perform other duties as needed, including, but not limited to, school closing system administration and supporting the staff's response to breaking news, storm coverage, and similar.
Qualifications
  • High School Diploma or equivalent required. Advanced education preferred
  • Previous experience in an administrative support or coordinator role, preferably in the media, sales, or entertainment environment
  • Excellent verbal and written communication skills, with the ability to interact with all levels of management
  • Strong organizational and time-management skills, with the ability to effectively manage multiple responsibilities at once and prioritize without jeopardizing deadlines
  • Strong interpersonal skills and the ability to quickly build working relationships and credibility
  • Experience with Oracle software applications, particularly iProcurement module, preferred
  • Proficient in Office 365/Google Docs
  • Ability to maintain highest degree of confidentiality, judgment, and integrity
  • Ability to work a flexible schedule as needed to support storm coverage, breaking news coverage, and similar

This position is identified as being performed in/or reporting to company operations in New York State. Salary ranges are supplied in compliance with New York State law.Pay is competitive and based on a number of job-related factors, including skills and experience. The starting pay rate/range at time of hire for this position in the posted location is $42,000.00-$69,000.00/ year. The rate/Range provided herein is the anticipated pay at the time of hire, and does not reflect future job opportunity.
