Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the minimum qualifications for this position. The qualifications are:Promotional: One year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. Qualifying titles are available at: https://www.cs.ny.gov/examannouncements/announcements/38687titles.cfm Open Competitive: One year of clerical experience.Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.If there are three or fewer qualified candidates interested in appointment to this position, a permanent appointment may be made pursuant to Section 52.7 of the Civil Service Law. To be eligible, candidates must be an employee of the Department of Transportation and have one year of permanent competitive service as an Office Assistant 1, SG-06.
Duties Description OA2 Duties include, but are not limited to:• Purchase Order Requestor role in Statewide Financial System (SFS): Perform all duties associated with the purchasing process, including but not limited to; assisting with development of NPS budget; creating/processing purchase orders; and process invoices. Point of contact for purchasing questions and issues; respond to audit requests from the Business Service Center; add new vendors in SFS. Handle purchasing and travel card distribution and troubleshoot card issues. Duties must be performed in accordance with guidelines set forth by Regional Administrative Officer and DOB.• Region 5 Design Training Coordinator.• Responsible for distribution of mail and other materials to Region 5 Design Group staff as necessary.• Manage equipment usage and inventory of supplies and materials used by Design.• Maintain safety boot inventory and purchasing files for Design department.• Responsible for printer maintenance, paper inventory, ink inventory and replacement for the design printers and Region 5 printers.• Provide assistance to other staff in the Design group such as, but not limited to: scheduling meetings, setting up conference calls, producing/processing necessary paperwork, scanning documents, establishing new files, creating folders, and compiling relevant material.• Maintain files, correspondence, documents, records, materials, and store according to guidelines.• Provide back-up assistance for the Administrative Assistant 1 as needed.• Provide back-up assistance with answering incoming calls. Responsibilities may include serving a role within the Incident Command System to support the Department's response to regional and statewide emergency situations.
Additional Comments *This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
