The Administrative Associate IV will provide general support to the office of Procurement and Contracts and will provide administrative support to the Director of Procurement. Assists in the planning of special events and maintains files, records and other electronic databases. Assists with compilation of reports and monitors compliance with policies and procedures.


  • Provides advanced administrative support and may serve as a personal assistant. Maintains office schedules and appointments. First point of contact for visitors and vendors to the department.

  • Responsible for entering vendors into USAS and Colleague. Entering routine requisitions into Colleague, entering contracts into contract management software and entering fixed assets.

  • Supports buyers and contract specialist with research and provides advanced administrative support

  • Explains, applies, interprets, and communicates policies and procedures. May monitor compliance with policies and procedures.

  • Assists in the planning of special events including but not limited to Buff Business and Buff Academy. Makes arrangements for meetings, appointments, conferences, and travel. May set up meetings, seminars, and other special events to include facilities, equipment, and food.

  • Coordinates the maintenance of files, records, office supplies, or equipment. Maintains office reference materials including online office materials. May deliver, pick up, or receive cash payments, documents, supplies, or materials.

  • Assist Director with creation of reports including but not limited to contracts and HUB

  • Other duties as assigned by Unit Head.

Necessary Qualifications:

  • High school diploma or equivalent combination of education and experience.

  • Four years of related experience.

  • Knowledge of email, word processing, spreadsheet, and database applications.
