Job Purpose/Overview

The Accounts Receivable specialist will be responsible for reviewing and processing sales orders in an accurate and timely manner, including reviewing each order for accuracy, required supporting documents, processing customer credit card transactions, and reconciling any orders that need corrections.

Essential Duties and Responsibilities

  • Audit sales orders on a daily basis to ensure all required documents are correct, deposits and/or financing is secured and make edits as necessary.

  • Release orders to the warehouse for shipping.

  • Process customer payments via Authorize.net and maintain secured credit card files.

  • Creates loaner invoicing and process customer payments for non-warranty customers.

  • Supports the Accounts Receivable team with other duties and projects as assigned.

  • Maintain accurate customer files, including ERP customer database and credit card authorizations forms.

  • Contacts customers, as needed, to keep orders moving toward completion.

  • Respond to inquiries via e-mail or phone from sales managers and sales representatives.

  • Works day-to-day with cross functional departments to problem-solve order or customer issues.

  • Identifies customer needs and provides a high level of customer satisfaction.

  • Other duties as assigned.

Education and Experience

  • A Bachelor’s Degree in Business Administration or related field

  • 1 – 2 years’ related experience

Knowledge, Skills and Abilities

  • Organized with the ability to multi-task in a fast-paced environment.

  • Experience with data entry/PO processing within Intuitive, Oracle or other web-based ERP systems.Experience using CRM (Customer Relationship Management) tool, Salesforce preferred.

  • Ability to move quickly through numerous order entry steps with accuracy while paying close attention to details.

  • Internal Customer service experience required.

  • Proven ability to follow through and resolve issues.

  • Must have strong attention to detail, and organizational skills.

  • Excellent written and verbal communication skills.

  • Team-oriented philosophy is a must with ability to work independently in a fast-paced environment.

  • Willingness to work on a flexible schedule, according to activity and volume.

Working Conditions

The associate is regularly required to apply manual dexterity, including hand/wrist flexibility, for computer keyboarding. The associate frequently is required to sit for extended periods of time, stand, walk, and reach with hands and arms. The associate is frequently required to hear and speak in order to use the telephone, make presentations and communicate with people in an office environment. The associate is occasionally required to sit and stoop, bend, kneel, or crouch. The associate must occasionally lift and/or move up to 15 pounds.

The associate will primarily work in a typical office environment including the use of cubicles, computers and overhead lighting. Temperature extremes will be minimal to nonexistent. The noise level in the work environment is usually moderate. The associate will be required to use a computer, spreadsheets, database management, email, and the Internet. The associate is frequently required to use a calculator; fax, copy machine, and phone system. The associate must occasionally use media equipment such as an overhead projector, PowerPoint, and Microsoft Teams.

The Target Pay Range for this position is $24.00-$30.00 hourly. At Mars, pay decisions are determined using factors such as relevant job-related skills, experience, education, training and budget.
