In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings, obtaining supplies and works on special projects. Answers routine correspondence and assembles highly confidential and sensitive information. Communicates with Relationship Managers and customers. Plans, prioritizes, and organizes diversified workload and recommends changes in office practices and procedures. Essential Functions · Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department · Establishes, develops, maintains and updates filing system. Retrieves credit and collateral files as needed · Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information · Answers phones for department. Takes messages or fields/answers questions · Acts as liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies when necessary · Maintains the exceptions levels as reflected on Baker Hill along with inputting current data for personal financial statements, tax returns, and other related credit information · Types and designs general correspondence and memos, etc. Proofreads for accuracy and clarity of final copy · Maintains the Executive Loan Committee minutes along with being a back up for CLDD · Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions Position Requirements · High School Diploma or equivalent · Minimum of 2 years administrative experience-preferably in commercial banking · Work is generally performed indoors in environmentally controlled conditions · Typically the employee may sit to perform the work. However, there may be some standing, walking, bending and carrying of light items in the course of the work Critical Skills / Expertise · Ability to relate well to others · Excellent written and oral communication skills · Knowledge of standard office equipment · Knowledge of office administration procedures · Knowledge of a variety of computer software applications (including Microsoft Office & Access) · Must have high level of interpersonal skills to handle sensitive and confidential situations · Position continually requires demonstrated poise, tact and diplomacy · Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work · Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines |
