Essential Duties and Responsibilities:

This is one of two Event Manager positions at The Dubois Center, working cohesively to oversee events and collaborate with a variety of internal and external clients. This role serves as a liaison between clients, vendors, and staff, articulating vision and building relationships with potential clients and stakeholders to ensure events run smoothly and successfully, meeting clients’ objectives and expectations. Responsibilities include managing every aspect of an event, coordinating and connecting clients with vendors for catering, parking, AV needs, and other services, ensuring timely completion of each element.

This position requires conveying accurate, legally binding information and UNC Charlotte policies and procedures while providing outstanding customer service. Understanding and embodying the mission of The Dubois Center is essential for attracting like-minded clients. The Event Manager handles both large and small high-profile university events, understanding “assigned” space under University Policy 601.6 for Scheduling of University Space. During events, the Events Manager ensures smooth operation, troubleshooting issues, and addressing unexpected challenges with flexibility and quick solutions. Effective communication is crucial to keep clients, vendors, and staff informed about event details and changes. Exceptional organizational skills and managed communication are essential.

The Event Manager may assist with writing policies related to event management and is expected to resolve internal relations with event clients as needed. This position also provides clear direction to auxiliary staff for event setup and teardown as required.

This position is part of The Dubois Center operational staff, reporting to the Associate Director. It is a team-focused role requiring adaptability and flexibility to cover events on weekends and after business hours and to fill in for operational staffing needs as necessary. Additionally, this position may be assigned special projects such as academic room scheduling and coordinating VIP parking requests. Proficiency in event scheduling software is required to schedule events and pull enrollment data/projections as needed for growth and activation of The Dubois Center.

Minimum Experience / Education:

  • A degree in Event Management, Hospitality Management, Business Administration, Marketing, or a related field with 1 year of event management experience or 5 years of proven event management experience managing high profile events.

  • 1 year of experience in managing budgets, negotiating contracts with vendors, and coordinating logistics.

  • Flexibility and adaptability is a must due to events that often require working outside regular office hours and weekends.

  • Demonstrated ability to lead an event, delegate tasks effectively, and foster a collaborative work environment.

  • Strong skills in building and maintaining client relationships, with a focus on customer satisfaction and retention.

  • Proven track record in identifying challenges, proposing solutions, and implementing effective resolutions during events.

  • Ability to adapt to changing priorities, work under pressure, and handle unexpected situations with professionalism.

  • Excellent verbal and written communication skills to effectively interact with diverse stakeholders, negotiate contracts, and present ideas clearly.

  • Dedication to delivering high-quality events that exceed client expectations and align with organizational goals.

  • Proven ability to foster and thrive in a team-driven positive work environment, fulfilling commitments, meeting deadlines, and contributing to a harmonious team dynamic.

Preferred Education Skills and Experience:

  • Professional certifications such as Certified Meeting Professional ( CMP ), Certified Special Events Professional ( CSEP ), or similar credentials.

  • In-depth understanding of event industry trends, best practices, and emerging technologies.

  • Ability to develop and execute strategic plans for event growth, client retention, and operational efficiency.

  • Proficiency in event management software, CRM systems, and or digital marketing tools.

  • Ability to innovate and bring fresh ideas to event design, programming, and attendee engagement.

  • Higher education experience in event management.
