Robert Half Administrative Coordinator in Chattanooga, Tennessee

Description We are offering a contract to hire employment opportunity for an Administrative Coordinator in the legal industry, based in Chattanooga, Tennessee. This role involves a diverse range of administrative and supportive tasks within a professional office setting, requiring excellent organizational skills and attention to detail.

Responsibilities:

• Answering phones and directing calls to appropriate personnel in a timely and professional manner

• Providing a warm and professional welcome to clients and visitors

• Maintaining the organization and cleanliness of the lobby, reception area, and conference center

• Managing the scheduling of conference rooms, ensuring all technology and catering needs are met

• Managing daily client check deposit lists and issuing necessary operating account checks

• Coordinating the set-up and take-down of events, including ordering food

• Handling the filing of legal documents at the courthouse and conducting necessary deliveries and pickups

• Efficiently routing internal and external correspondence

• Preparing and processing Fed-Ex shipments

• Receiving, sorting, and distributing incoming mail in a timely manner

• Maintaining and replenishing stock for pantry items

• Typing memoranda, correspondence, and other documents

• Providing backup support to legal secretaries when needed

• Saving documents into the document management system

• Assisting with various clerical duties and special projects as assigned by the Office Administrator. Requirements • Minimum of 1 year of experience in a legal administrative role or related field

• Proficiency in Microsoft Office Suite (MS Word, Microsoft Excel)

• Experience with answering multi-line phone systems

• Proven ability in administrative office tasks

• Experience in mail distribution and document scanning

• Proficiency in data entry tasks

• Willingness to run errands as needed

• Experience in setting up and cleaning up conference rooms

• Strong organizational and multitasking abilities

• Excellent communication and interpersonal skills

• Ability to maintain confidentiality of sensitive information

• Ability to work independently and as part of a team.
