Job Description:
Under supervision, functions at the senior level, providing paraprofessional legal and administrative support to attorneys, and performs related duties as required.
ESSENTIAL DUTIES
Assists attorneys in all litigation functions including those ranging from routine to complex in nature
Indexes and organizes documents produced in discovery
Prepares and files documents with federal and state courts
Appears in state or federal court to file documents on behalf of the City of Chicago
Collects and organizes information and legal documents to respond to subpoenas and requests for information
Researches and analyzes statutes, judicial decisions, and legal codes for attorneys’ use
Prepares and summarizes legal documents such as summonses, motions, and subpoenas
Prepares privilege indexes
Abstracts depositions, documents, and complex transcripts to summarize statements of deponents
Prepares and arranges for training sessions conducted by attorneys
Prepares and writes documents for discovery motions
Prepares and maintains documents for motions, pleadings, and claims
Interacts with various City departments, outside agencies, and information requesters to provide information and collect documents
Inputs data and issues legal holds and other related documents for electronic data preservation.
Indexes and files court documents and depositions for record keeping purposes.
Monitors track and maintain paralegals and attorney’s caseloads to ensure effective case management.
Enters data and cases into electronic database systems for case management purposes.
Prepares exhibits and documents for use in court
Begins the preservation process by using the Department of Law preservation database
Follows up on preservations not responded to and reviews the items that were preserved and sent
Organizes and reviews documents for privilege and personal information
Prepares indices of withheld documents
Manages and updates the preservation database
Troubleshoots issues arising with subpoenas
Uses and maintains the Preservation Database to manage legal holds on electronic records
Performs light administrative duties (phone, database updates and mailings) daily
Works extensively with Excel, Microsoft, Adobe and litigation databases.
Attend litigation team meetings, client meetings, other case-related meetings, and mandatory departmental meetings, trainings and workshops.
Create and send client and witness appearance notifications and schedule building visits.
Prepares productions and upload records in litigation database.
Responsible for remaining current on all division updates; including but not limited to guidance, procedures and documents.
Ability to multi-task, possess effective time management skills and communicate effectively in teams.
Troubleshoots issues arising with subpoenas and monitor inc

Minimum Qualifications
Graduation from an accredited college or university with a bachelor’s degree and a paralegal certificate from a paralegal training program accredited by the American Bar Association, or an equivalent combination of education, training, and experience.
Preference will be given to candidates possessing the following:
Previous experience as a litigation or transactional paralegal
Previous experience preparing standard court filings, such as: appearances, subpoenas, notices of filing, discovery responses, FOIAs, and preservation letters
Previous experience processing Freedom of Information Act (FOIA) requests.
Previous experience reviewing and interpreting contracts.
Proficiency with analyzing, indexing, duplicating, and organizing documents and data produced in discovery.
Proficiency with software used to create exhibits, edit video and audio files, and maintain and share electronic files.
Proficient in Microsoft Office, including Word, Excel, and Outlook.
