This person is responsible for the project management of customer facing requests for proposals, requests for information (RFPs, RFI), as well as professional proposals. The Proposal Manager will work closely with sales, product line marketing, inside sales, professional services, customer services, and other groups as necessary to coordinate a strong and compelling customer facing document. This role has a team of 3 RFP staff reporting to them (Sr. Proposal Specialist, Proposal Specialist and RFP Content Specialist).
The Proposal Manager will be responsible for the overall drafting and presentation of content for RFPs, RFIs, and maintaining the corporate standard responses. Ideal candidates will be excellent communicators, with strong organizational skills, and extensive writing experience in a professional environment. The Proposal Manager will be responsible to source open documentation and provide feedback and guidance to the account team regarding documentation production, legal, and revenue recognition issues.
This person will establish best practices and set firm standards for responding to requests, collaboration with the supporting teams, and account team to draft content for RFP submissions. Draft, update and maintain company and product line descriptions; tailored content, and other standard response language used in proposals and RFPs. This also includes the development of templates for cover letters, executive summaries, and follow-up letters. Coordinate and maintain corporate standard responses and ensuring contents are updated.
Responsibilities of the RFP Manger and their direct team include, but not limited to:
Refine and manage the current proposal submission process at Sphera from identification through approval and customer submission
Maintain the RFP Library, RFP Templates, and Proposal Template to ensure that all content is accurate and the latest messaging is updated.
Work with members of the Sales teams to help manage pipeline of incoming proposals and identify needed responses and timelines, and communicate with sales leaders during the RFI/RFP process - from receipt and prioritization of work to delivery, to provide clear and comprehensive documents and updates.
Analyze RFPs, produce high-level summaries, and quickly provide snapshots of proposal requirements.
Responsible for developing proposal plans, proposal schedule, coordinating workflow, compliance matrix, proposal outline, tasking and managing proposal volume leads as well as coordinating color team reviews
Coordinate and organize proposal writing across various teams
Leverage internal network, experience, internal tools, and facts to respond to RFP/proposal requests appropriately
Collaborate with subject matter experts and other writers to refine proposal sections to ensure accuracy, compliance, consistency, and reflection of win strategies.
Draft RFPs and prepare required documentation to ensure that RFPs in progress are in compliance with instructions.
Develop process for feedback on submissions to leverage experience from successful proposals/wins to develop strategies for winning submissions.
3+ years managing an RFI / RFP process preferably in a technology or software company
Bachelor Degree or equivalent work experience
Exceptional writing, editing, and proofreading skills including impeccable grammar; able to filter and distill information to the right audience
Adept at database/information management. Loopio experience is a plus.
Ability to multitask, work in pressure-filled situations, and meet short deadlines.
Ability to work independently and to coordinate directly with sales, marketing, cross-functional departments (accounting, legal, finance), competitive and analysis team, and senior leadership with minimal supervision.
Proficient in Microsoft Office suite such as Outlook, Excel, Word, and PowerPoint.
APMP Foundation Level Certification preferred but not mandatory.
