Responsibilities:

  • Respond to incoming facility requests via phone, email, and walk-up.

  • Track all phone, email, and walk-up requests for monthly metrics.

  • Process incoming facility requests into the client software.

  • Distribute facility requests to client approved vendors.

  • Monitor facility requests assigned to client-approved vendors and update customers.

  • Answer facility-related questions via phone, email, and walk-up.

  • Escalate facility-related requests from VP level or higher to corporate real estate contact.

  • Contact client escort for all visitors or provide escort as needed.

  • Handle incoming and outgoing messenger requests.

  • Work with security and communicate any security breaches or accidents.

  • Retrieve live checks based on the identification of the user at the window and maintain signatures.

  • Answer questions and provide a positive experience to both external and internal customers.

  • Provide backup to the Switchboard role.

  • Schedule requests for hoteling offices.

  • Track the number of appointment requests for monthly metrics.

  • Create hotel signage and place.

  • Ensure hotel spaces remain unlocked with drawers locked.

  • Work with IT department to escalate any issues with copiers/printers.

  • Entry and management of all PM tickets.

  • Other duties as assigned by management.

    Qualifications:

  • HS Diploma or equivalency required.

  • Working knowledge of mail/distribution basics or office experience equivalent.

  • Working knowledge of Microsoft Products including: Word, Excel, Outlook, and Teams.

  • Must demonstrate exceptional customer service skills; adaptable to a dynamic environment while possessing strong interpersonal skills.

  • Must be able to learn new skills quickly.

  • Flexible and able to juggle multiple, and at times, conflicting priorities.

  • Strong initiative required; ability to work independently with minimal direct supervision.

  • Able to remain diplomatic in stressful situations; team oriented and has the capacity to build strong working relationships both within the team and with external stakeholders/customers.

  • Exhibits superior verbal and written customer service skills.

  • Maintains confidentiality while working with highly sensitive materials.

  • Able to walk, bend, kneel, stand, and/or sit for extended periods of time.

  • Able to lift or move 50lbs or greater at times.
