Hiring Range: $37,000.00 - $38,850.24 annually (salary to be commensurate with qualifications)

This position has an anticipated work schedule of Monday – Friday, 8:00am – 4:30pm, subject to change. Under FLSA guidelines, this position is non-exempt.

Provides a variety of administrative, clerical, and technical support functions for the Veteran Services Division. Provides information and acts as initial point of contact for customers and applicants with Veteran Assistance (VA) claims issues.

Essential Duties/Responsibilities

  • Greets individuals, answers inquiries, and responds to all activity in the main reception area. Responsible for maintaining office supply inventory and ensuring the pamphlet rack is stocked with all necessary supplies, booklets, and forms.

  • Receives incoming calls; responds to citizen or staff inquiries, screens calls, and takes messages or transfers calls as appropriate.

  • Interviews applicants in need of assistance in person or on the telephone; requests and obtains documentation and information required to determine program eligibility.

  • Assists applicants with VA claims issues.

  • Performs administrative duties including copying, data entry, filing, and faxing. Composes, types, and edits correspondence reports, letters, memos, and forms ensuring correct grammar, punctuation, and spelling.

  • Coordinates and schedules appointments, meetings and events using Microsoft Outlook; maintains Outlook calendar.

  • Receives deliveries, verifies correct items have been received, and ensures items are not damaged. Processes returns of incorrect or defective items to include tracking shipments and confirming delivery to the vendor. Verifies packages pending shipment are properly addressed and ready for pickup.

  • Scans documents into the computer and transfers scanned information onto a CD according to established procedures.

  • Sorts and distributes incoming mail and faxes; processes outgoing mail.

  • Establishes, updates, and maintains social media, websites, and electronic newsletter with information for the veteran community.

  • Performs other duties as required.

Qualifications

Knowledge, Skills, and Abilities:

  • Ability to interpret and apply State and Federal Veteran regulations.

  • Must be able to communicate effectively, both verbally and in writing, in a diplomatic and courteous manner. Must accurately prepare and maintain various records, reports, correspondence and other documents.

  • Must possess a high degree of personal integrity; ability to maintain confidentiality.

  • Must be organized and possess the ability to manage multiple tasks, meet deadlines, and reprioritize as work situations change.

  • Ability to understand and follow verbal and written instructions.

  • Must possess a high level of attention to detail.

  • Ability to operate standard office equipment including computer, fax machine, calculator, copier, and telephone; working knowledge of Microsoft Word, Access, Excel, and PowerPoint as well as navigating social media and updating websites.

  • Ability to communicate and work effectively with clients, the general public, governmental officials, supervisors and co-workers.

  • Maintain regular and punctual attendance.

Required Education and Experience:

  • High School diploma or equivalent education.

  • Minimum one year administrative experience in a public office environment.

Preferred Education and Experience:

  • Honorably discharged veteran of the United States Armed Forces or experience in veteran affairs work.

Licenses/Certificates:

  • Must possess and maintain a valid driver's license.

Pre-Employment Requirements:

  • Must pass conditional post offer background investigation, motor vehicle record check, and drug screen.

Work Conditions

Duties are primarily performed in an office environment; some travel may be required.
