The Facilities Assistant 1 position exists to coordinate and facilitate diversified tasks in providing Facilities Department support utilizing thorough working knowledge of departmental policies and procedures. Requires general supervision and refers questionable matters to supervisor.
Essential Duties/Responsibilities:
Creates and maintains digital and paper files
Works closely with facilities technicians and custodian supervisor
Prepares all purchase orders for the Facilities Department and tracks invoices
Interfaces with the Finance Department to ensure timely disbursement of funds to vendors and contractors
Oversees Facilities work order system
Processes and coordinates Facilities repair and service orders
With guidance, maintains and updates procedures for technical personnel
Follows up with users of work order system on services provided
Prepares and distributes Facilities departmental communication to other ministry departments and/or ministry communications personnel
Responds to emails and answers phone calls providing detailed information and/or assistance as necessary
Orders and maintains office supplies
Supports projects for the Facilities Management Team like tracking cost and researching cost of specific project items
Supports site safety requirements like fire extinguisher checks, chemical inventory, first aid kits, AED’s, and coordinating fire wardens
Coordinates events
Updates departmental calendars
Participates in new hire orientation in Facilities office
Produces quarterly Tenant newsletter
Gathers information for Facilities metrics and scorecard
Assists with asset tracking and disposal
Other Duties/Responsibilities:
Supports team for critical incidents
Assists with emergencies and fire alarms
Performs other duties as assigned

Knowledge/Experience:
High school diploma
1-3 years of related experience
Skills, Abilities, and Special Talents/Gifts:
Ability to communicate effectively (verbal and written)
Good analytical skills to extract data and draw conclusions
Ability to establish and maintain rapport with co-workers, employees, and managers
Ability to function in a team environment
Must have good phone skills
Ability to handle several tasks at the same time
Must have good computer skills (Outlook, Word, Excel)
Good prioritization and time management
Pay Range: $16.00 to $18.25/hr
