The Department of Orthopaedics is currently seeking a full time Sr. Practice Manager to work in Miami, FL. The Senior Practice Manager works in conjunction with the department administration team to oversee the prompt resolution of problems that arise in daily clinical operations. Implements and monitors policies and procedures for efficient, patient- and doctor-friendly clinical operations. Collaborates with other service areas in providing a consistent standard of service across the service line as a whole.

CORE JOB FUNCTIONS

  • Manages and coordinates the activities of office and clinic personnel.

  • Approves time and attendance documents.

  • Oversees recommendations for hires, transfers, promotions, and terminations, and trains and evaluates all positions for the practice.

  • Maintains and adjusts job descriptions for department staff.

  • Sets goals and objectives for support staff and evaluates their performance.

  • Trains or facilitates the training of personnel within the assigned division(s).

  • Participates in customer service and leadership training.

  • Attends University meetings regarding UCare, Epic implementation, HIPAA compliance, and third-party payor contracts.

  • Develops and implements an inventory control system for supplies and materials required by the practice.

  • Oversees employee, patient, and physician relations and problem resolution as it occurs in the offices.

  • Ensures compliance with University policies and procedures.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Education:

Bachelor’s Degree in relevant field

Experience:

  • Minimum 5 years of relevant experience required

Department Specific Functions

Under direction of the Vice Chair of Administration (VCA) for the Department of Orthopedics, the Senior Practice Manager assumes responsibility for the overall clinical operations of the University of Miami Sports Medicine Institute at the Lennar Foundation Medical Center and satellite clinics. In this role, the incumbent acts as an information resource and ambassador to patients, providers, staff, and the general public.

  • Oversee day-to-day clinic operations in satellite location including physician requests, staffing issues, clinical staff training, UConnect escalations, and handling escalations for ancillary services.

  • Responds to patient grievances, communicates with Patient Experience, gathers information from faculty and staff regarding patient issues.

  • Coordinate staffing (PAs, ATCs, CNAs and registration) at satellite locations to ensure sufficient clinic coverage for providers based on expected volumes

  • Responsible for the coordination of care for all University of Miami Athletes including pre-participation physicals (200 plus annually) with provider exams (Orthopedics, General Medicine and Eye Exam), EKG and Labs. Coordinate and handle general requests and appointment escalations.

  • Responsible for the coordination of care for Miami Marlins, visiting MLB teams US Sailing Team and other professional athletes. Coordinates pre-participation physicals, and stat appointments, imaging and procedures through collaboration with Workers Compensation, Radiology and Ortho divisions. On call evenings and weekends during the baseball season to assist with urgent requests; performing 3-4 hours of work a week outside of regular hours.

  • Maintains constant communication (in-person, email, phone/voicemail, electronic medical record) with team and other contacts, including some after hours when necessary.

  • Communicates with Sr. Practice Manager of sports medicine when needed if situations arise that require escalation.

  • Manage staff daily and promote lines of open communication, resolve staff conflict and grievances effectively, maintain satisfied and capable staff and maintain a positive atmosphere in clinic. Encourage staff development.

  • Responsible for the supervision and the performance management/processing of clinical Athletic Trainers, Executive Assistants, and Senior Administrative Assistants, Clinical program coordinator, surgical scheduler, LPN Supervisor and assist with Medical Assistant team oversight, including hiring, training, evaluating, terminating and processing leave requests, FMLA's, accommodations and gathering any information required

  • Complete payroll, timekeeping via Workday. Maintain and monitor all staff schedules, overtime, PTO (vacation/sick), jury duty, educational, payroll adjustments; etc.

  • Responsible for resident orientation meetings and morning Sports medicine and Radiology conference meetings including coordinating schedules and updating calendar invites/listserv. Also provides guidance in clinic to incoming residents

  • Attend leadership meetings

  • Coordinate quarterly meetings with patient access regarding check in/check out process to improve patient experience/Press Ganey scores

  • Point person between clinic and CIV to address issues with appointment related authorizations

  • Assist Sr. Practice Manager with Decision Tree updates

  • Handles all of the division’s Letters of Medical Necessity to improve the rate of retroactive payment on surgical procedures

  • Liasion between Sports Medicine and the university’s Athletic Training Education Program

  • 30% monthly clinical time/support

Department Specific Qualifications

Education:

Master’s Degree, preferred.

Certification and Licensing:

Allied health professional certification such as ATC is highly preferred.

Experience:

Minimum 5 years of relevant experience required.
