Responsibilities

  • Prepare and process manual transactions including but not limited to sales orders, transfers, and returns.
  • Prepare and process large batch order file into ERP system.
  • Review orders for completeness and accuracy, ensuring all necessary information is provided.
  • Communicate with customers to resolve any order discrepancies or issues in a timely manner.
  • Coordinate with other departments, such as sales and inventory management, to ensure seamless order processing.
  • Utilize mass ordering tools and techniques to streamline the processing of bulk orders.
  • Assist in the development and implementation of procedures to improve the efficiency of the order entry process.
  • Provide exceptional customer service by responding to inquiries and requests promptly and professionally.
  • Record all inbound contacts and manage open cases through the CRM system.
  • Meet or exceed individual department metrics.
  • Leverage RCI tools to identify and implement process opportunities to enhance service and/or improve franchisee productivity.
  • All other duties assigned by management.

Qualifications

  • Minimum 2 years administrative or order entry experience
  • Minimum high school diploma or equivalent. Associate or bachelor\'s degree preferred.
  • Excellent PC skills, knowledge of Excel and other Microsoft Office programs, Understands use and function of data tables.
  • Proficiency with order management systems and software, with experience in batch ordering tools preferred.
  • Strong attention to detail and accuracy, with the ability to maintain focus while processing large volumes of orders.
  • Problem-solving skills and the ability to resolve issues efficiently and effectively.
  • Understanding of end-to-end sales order process flow; entry to invoice
  • Excellent ability to prioritize own workload.
  • Proficient in verbal & written communication and able to quickly transition between various media channels effectively.
  • Flexible in daily activities, change priorities and coordinate multiple tasks.
  • Strong communication skills, both verbal and written, with the ability to interact professionally with customers and colleagues.
  • Ability to use a wide range of procedures & analyze situations to determine what action should be taken within limits of standard practice.
