Why we need you:

The Corporate Litigation Paralegal is responsible for a range of legal support and administration within the in-house legal department to administer the legal affairs of Highmark Residential efficiently, expeditiously, reliably, professionally, and effectively.

Essential functions include (but are not limited to):

  • Assist in the high-volume case load pre-suit, bankruptcy, landlord-tenant disputes, and litigated matters within the department, including conducting factual investigations into resident complaints, drafting position papers to governmental or legal entities, drafting responses to discovery requests, or drafting process and legal documents such as releases, settlement agreements, check requests and dispute responses.

  • Keep all matters organized by establishing and organizing files; monitoring and updating calendars; meeting deadlines; documenting actions; inputting information into case database and case management software; confirming case statuses with attorneys, adjusters, and other external partners.

  • Maintain ongoing, professional communication and respond to legal inquiries and requests of internal teams, ownership contacts, outside counsel, regulatory and housing authorities.

  • Draft departmental process documents for internal and external utility as it relates to mitigating risks and liabilities, pre-suit and litigation responses, invoicing, code compliance and violation remediation, compliance, privacy, and the like.

  • Assist with quarterly, semi-annual, or annual audit request responses.

  • Maintain permanent systematic legal department filing system with regard to entity files, property files, litigation, research, contracts, and other tasks.

  • Update and maintain various schedules, logs, spreadsheets of pending matters, schedules of events, and reports relating to real estate transactions, entities, financing, litigation, and other projects.

  • Review, track and monitor legislation, regulation, statutes, governances, and other authorities that impact Highmark business model for the multi-family management platform, providing analyses and summaries of the impacts of the same along with recommendations on how best to modify business practices, contracts, policies, and procedures to meet requirements.

  • Identify opportunities and/or tools to improve or streamline existing protocols surround Highmark and/or property level mitigating risks and liabilities, pre-suit and litigation responses, invoicing, code compliance and violation remediation, compliance, privacy, and the like.

  • Assist and support department leadership in all assigned activities.

  • Work independently on non-recurring, special and ongoing projects.

  • Conduct legal research, where necessary

  • When needed, assist properties with preparing, applying for, and maintaining annual business licenses, music and motion picture licenses, broker licenses, and permits, as well as, processing invoices and other associated documents from regulatory authorities and law firms, including addressing code compliance violations and curing any outstanding liens, judgments, and invoices associated with the same.

  • When needed, assist in the acquisition, transition, and disposition of multi-family properties, including facilitating ownership, property management agreement drafting and execution, entity formation, SS4 and W9 completion, purchase and sale agreement term review, and property file organization.

  • When needed, assist in EIN, entity management, maintenance, and assumed name formation, including the coordination through our Statutory and Registered Agent, CT Corporation.


  • Bachelor’s Degree preferred.

  • Minimum 5-10 years’ experience as a legal assistant and/or paralegal.

  • Ability to work independently.

  • Excellent organizational skills.

  • Ability to multitask.

  • Proactive self-starter with high attention to detail.

  • Good analytical skills with the ability to identify, evaluate and resolve problems.

  • Strong research and problem-solving skills.

  • Excellent communication skills, both written and verbal.

  • Exercise job responsibilities with absolute discretion and confidentiality.

  • Required - previous litigation experience, specifically insurance defense matters, bankruptcy, real estate ownership and operations, multi-family property management and leasing operations, corporate/partnership structures, and landlord/tenant disputes and case management.

  • Preferred but not required - previous compliance experience, working knowledge of the federal, state, county, and city compliance requirements, with the understanding of licensing, permitting, music and motion picture licensing, privacy, housing assistance, multi-family conventional and tax credit housing, VAWA, and entity and assumed name management.
