Universal Health Services Payroll/Schedule Coordinator in DANVILLE, Virginia

Responsibilities

Position Purpose: The Payroll/Scheduling Coordinator is responsible for the centralized scheduling of Residential Department Personnel. Must have knowledge of standards and policies relative to scheduling of personnel and must be able to organize and maintain records and logs related to work schedules. Additional duties may be assigned. The scheduler must have good communication skills and be able to interact with members of all facility departments.

Key Responsibilities:

  • Schedule Residential Department personnel according to established polices and staffing grids.

  • Implements established procedures for reallocation of staff to meet daily needs.

  • Projects staffing needs for each shift based on acuity and special patient procedures (1:1 and assistance with ADLs, etc.).

  • Consults with Director of Operations when adjustments in staffing numbers or mix is indicated.

  • Implements procedures for position control.

  • Maintains records needed for evaluation of employees (absence and attendance reports, orientation, training schedules, and daily assignment sheets).

  • Maintain effective communications with appropriate departments such as personnel and payroll.

  • Communicates trends in call outs, absenteeism, and tardiness to Director of Operations.

  • Complies with company code of ethics.

  • Will work in Kronos daily to monitor missed punches and FTEs.

  • Maintains payroll entries and monitors payroll changes.

  • Will implement the use of ShiftHound.

  • Attends staff/program development activities as scheduled, participating in quality improvement activities as assigned.

  • Supports facility-wide quality/performance improvement goals and objectives.

  • Completes schedules and payroll audit/corrections in a timely manner.

  • Treats employees with dignity; communicate needed changes in a positive manner.

  • Reports needs of adjustment of staff to clinical supervisors.

  • Adheres to facility, department, corporate, personnel, and standard policies and procedures.

  • Adheres to facility standards and policies concerning conduct, dress, attendance, and punctuality.

    Qualifications

    Schedules employees to maintain appropriate staffing by facility standards and monitors FTEs.

    Units of Measure:

    · Create schedules in a timely manner.

    · Observe trends needing to be addressed that can cause schedule conflicts and barriers to adequate staffing.

    · Implement and utilize ShiftTown to manage callouts, tardiness, and other schedule conflicts.

    Maintains daily Kronos tracking to ensure compliance with FTE and monitoring the Punch Report for missed punches, errors, and downtrends.

    Units of Measure:

    · Check Kronos daily to monitor FTEs.

    · Check Punch Report daily to monitor trends, missed punches, and any errors that can cause payroll issues.

Ensures adequate and appropriate staffing to meet the needs of the program.

Units of Measure:

  • When unable to staff schedule appropriately or when call outs are unable to be accommodated by other staff, then Scheduler may have to work in the staffing numbers to accommodate residents needs.

  • If supervisors deem it necessary for additional coverage, Scheduler will need to work in the staffing numbers to accommodate the residents needs.

    Maintains accurate up to date position control. Communicates effectively with all departments.
