Aston Carter Project Coordinator in Deerfield, Illinois
-Entering quotes from vendors into ARIBA software system
-Data Entry, Analytics and reporting of information around materials and material orders, supply chain, etc.
-Reporting and analysis back to Sr. Leadership and partner teams
-Communication with vendors, partner groups, and follow up/project management
-We are involved in all of the material needs for construction projects within the stores
-email concerns and questions submitted to this team, come into email que/inbox
-expect a spoke in issues and questions via email - get email and forms - go to system (web-based), open and monitor reports, check in and follow up with who it is assigned to, follow up
-MS Excel - take imported data and format
-Resolves questions and problems submitted by retail stores via email (que)
-Direct complex questions and problems to level staff and other internal members
-Use Microsoft Excel to log and track inquiries, track data in charts and tables - check status of items - follow up
-document store interactions and records, complaints and comments in system
-Contact stores to respond to inquiries or notify them of results, adjustment, next steps, etc.
-Review prints and capturing order needs for a particular store location
-Partner with various internal teams, procurement department, vendors, and warehouses to ensure all items are ordered and delivered to the correct locations
-Field related – providing reporting to the field on ETA’s of materials for the program and working with them on any items that need to be reordered if lost/damaged/missing
• Moderate understanding of excel: filtering, color coding, vlookups or pivot tables
- • High communication skills – must be able to work with a diverse team
• Self-starter – able to pick up a project and run with it
• Organization – must be able to organize meeting notes, training, emails, etc to stay on top of all deliverable
Additional Skills & Qualifications:
Detail oriented, quick learner, and flexible
-HS Diploma (Bachelor preferred)
-2+ years of corporate experience (customer service, administrative, project coordinating)
-Strong MS Excel - Intermediate skills a must (spreadsheet management, reporting, analysis)
-Data Analysis experience
-Strong data entry skills, proficient typing, strong in Excel and Access. Must place accurate orders and work with internal teams to help validate order accuracy, ship dates, etc.
-Customer service – strong verbal skills, must feel comfortable on the phone working with the field (general contractors, project managers, etc), vendors, and coordinating deliveries with warehouses
-Resolving issues quickly i.e. missed deliveries, lost materials (reorders) at store level, etc.
-Inventory management experience is a plus
