General Summary

The Data Maintenance Specialist is an efficient, well-organized individual who in conjunction with the Cape Abilities Farm Director and department managers / buyers, oversees inventory control and maintains the ecommerce website. This position processes and records inventory, models high quality business operation skills and keeps customer satisfaction as a top priority.

The ideal candidate will have strong skills & experience in database management, spreadsheet operations, the internet, and an understanding of ecommerce. Demonstrated organization and communication skills as well as success working in a diverse team is required. This role will work with and support the farm’s management team to build and maintain a roadmap that prioritizes operational efficiency, a best-in-class market & online customer experience and increase sales. The ability to work solo on tasks in a motivated manner is imperative.

Essential Job Functions

  • Understands and oversees all aspects of the inventory control systems in place for the accurate accountability of controlling flow of products.

  • Examines incoming shipments and verifies product for damage, best by dates, and ensures that orders have been filled accurately. Provides information to area manager to obtain correct, undamaged replacements for products that are discovered to be broken or erroneous.

  • Inputs and maintains the listing of all products in product database, which is integrated with the Square Marketplace e-commerce site, images and category selection.

  • Works with the respective managers writing product descriptions and pricing.

  • Supports department managers / buyers to monitor inventory levels to ensure adequate product supply and identify risk from excess inventory.

  • Minimizes shrink by maintaining accurate counts and accountability for the product and planning.

  • Conducts inventory counts and reconciliation.

  • Works with department managers / buyers who disseminate product information internally.

  • Maintains the Cape Abilities Farm website using Square’s Marketplace e-commerce site, to support the business-to-consumer experience by daily monitoring, maintenance, content, site entry through to point-of-sale and branding consistency.

  • Collaborates with the director and department managers / buyers to launch product campaigns and ongoing product advertising and special promotions.

  • Collaborates with finance department as needed.

  • Maintains all purchasing records and vendor database.

  • Maintains an encouraging and positive work environment for adults with disabilities.

  • Attends all staff meetings, training, and development activities, as required.

  • Serves as mandated reporter for suspected cases of abuse and/or neglect to the Disabled Persons Protection Commission (DPPC).

The Inventory & Data Maintenance Specialist completes work assignments and priorities by using policies, data, and resources; collaborating with co-workers, other business partners and customers; identifying priorities, deadlines, and expectations; carrying out tasks; communicating progress and information; determining and recommending ways to address improvement opportunities; and adapting to and learning from change, difficulties, and feedback. The Inventory & Data Maintenance Specialist can work quickly, accurately & efficiently in a fast-paced environment and maintains a clean workplace.

Regular, predictable, full attendance in accordance with Cape Abilities policy is an essential function of this job.

Preparation, Knowledge, Skills & Abilities

  • High school diploma required. Associate or bachelor’s degree preferred.

  • Minimum 2 – 4 years’ experience in database maintenance. Preferable work experience includes inventory controls and e-commerce operations.

  • Proficiency in Windows, including MS Word, EXCEL & Outlook; ability to learn new software.

  • The ideal candidate will be business-oriented with strong experience in retail operations and knowledge of customer relations, as well as demonstrated success working in a diverse team, be attentive to detail and accurate managing data.

  • Strong communication and well-developed organizational skills that reflect the ability to multi-task with strong attention to detail and timelines.

  • Ability to work weekends & special events, if needed.

Working Conditions/Physical Demands

  • Frequent walking, standing, bending and twisting.

  • Ability to lift a minimum of 25 pounds.

  • Ability to safely work with sharp instruments/tools.
