Facilities Management and Planning is seeking a Space Management Coordinator (Coordinator) to lead the university's efforts in space and information management including inventorying, analyzing and reporting of space occupancy and utilization, tracking, cataloging and updating base drawings and other graphic files, assisting with the management of the Campus' Computer-Aided Facilities Management software (Archibus), advancing the space guidelines and policies of the University by collecting and disseminating space requests, participating in space management committees and capturing changes in space ownership and usage with written agreements. This position is under the direct supervision of the Assistant Vice-Chancellor for Facilities Management and Planning.

This position will work closely with the Director of Design and Construction/Campus Architect, the Office of the Registrar, the Office of Financial Services, the Office of Institutional Research and Effectiveness, equivalent staff at the Auraria Higher Education Center, and space management committee members at CU Denver.

Supervision Received

The Coordinator reports directly to the Associate Vice-Chancellor for Facilities Management and Planning of the University of Colorado Denver.

Supervision Exercised

The Coordinator exercises supervision of one or more student employees.

Space Management Coordinator

What you will do:

  • Work with other space management staff at the Auraria Higher Education Center and Anschutz Medical Campus to manage the computer-aided facilities management software known as Archibus and ensure that space change events are recorded in the system including new buildings, building additions, moves, reallocations, and renovations. Depending on staffing, resources and timing the Coordinator may be managing or partnering with other staff members to make edits to the Archibus system or may be making the edits themselvesf.

  • Provide space data to the Office of Financial Services annually for indirect cost recovery reporting.

  • Manage CU Denver's digital library of building drawings and as built drawings from renovations.

  • Work with the CU Denver Leasing Coordinator to track lease agreements for CU Denver units.

  • Work with internal and external partners on regular space reporting requirements, including the bi-annual Board of Regents space utilization report and the bi-annual National Science Foundation research space report.

  • Provide space reports as requested by members of the university community and for use in programming building renovations and new facilities.

  • Manage the space request process. This includes collecting space requests and ensuring that they include the appropriate information and approvals, working with the requestor to clarify the request as needed, sharing the request with space management working group members, making a recommendation on approval, and executing a formal space re-assignment agreement (if applicable).

  • Develop a platform for sharing key space occupancy and utilization metrics and a cadence for reporting these metrics to campus leadership and the broader CU Denver community.

  • As needed, coordinate and participate in space audit walks with university units (if applicable) to verify space occupancy data.

  • Assist with periodic updating of the CU Denver workplace guidelines and ensure that space management decisions including re-assignments adhere to these guidelines.

Qualifications you already possess (Minimum Qualifications)

  • A bachelor's degree in a related field

  • Proficiency in AutoCad

  • One year active working experience in architecture, engineering, planning, design, construction, or a related field

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • Experience using the Archibus computer-aided facilities management software.

  • Experience creating data sharing dashboards using Tableau

  • Experience with the Adobe Creative suite

  • Experience working in a Higher Education setting, either as an employee of an institution or working with an institution or institutions as a private contractor

Knowledge, Skills, and Abilities

  • Working knowledge with Adobe Creative Suite

  • Working Knowledge with Bluebeam

  • Ability to assist higher level management in assigned phases of complex institutional planning analyses.

  • Ability to make oral and written reports and presentations and prepare planning report information clearly and concisely at detailed as well as summarized executive levels.

  • Ability to gather, organize, analyze, institutional planning information including large statistical data bases.

  • Knowledge of facility program and master planning methodologies including need assessments, market analyses, space analyses, and statistical analyses.

  • Extensive knowledge of comprehensive planning, design, and construction principles specic to a higher education environment.

  • Extensive knowledge of and experience in major planning, design, and construction projects.

  • Strong working knowledge of various delivery models for construction projects, the pros and cons of each, and how these models align with projects of varying types.

  • Knowledge of issues related to space management and allocation in a higher education environment.

  • Familiarity with Colorado's capital project process as well as the policies, procedures, and legislation that frame the process.

  • Understanding of real estate transactions, legal concepts, and terminology.

  • Working knowledge of the State of Colorado's architect, consultant, and construction selection process and various construction delivery methods.

  • Unwavering commitment to design excellence.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $63,662 - $74,305.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
