PLEASE NOTE: This is a provisional competitive Civil Service position. The selected candidate must be currently appointed to a Competitive Senior Clerk Typist position orwill be hired provisionally and be required to take the next scheduled Senior Clerk Typist test and be reachable on that list.

Duties of Purchasing Clerk:

Daily - Answer Phone Calls, Open Mail & File, Process Purchase Orders, Maintain Vendor Files, Respond to questions regarding purchasing systems and process.

Monthly - Assist Purchasing Agent with bids, Review department credit card statements, maintain and create various word documents and excel spreadsheets for copier service contracts, inventories and expense transfers.

As needed - Order supply items through WNYRIC, Maintain paper envelope inventories, Train School Office Staff with purchasing responsibilities

    Civil Service Requirements:

The work involves the performance of typing and varied duties of a moderately difficult nature. This class differs from that of Clerk Typist by virtue of the more difficulty and varied nature of the work performed and by the independent judgment in the application of established procedures and methods that is exercised by the incumbent. Does related work as required.

Qualifications:

Graduation from high school or possession of a high school equivalency diploma, including or supplemented by a course in typing and one year of office clerical experience.

Note: Completion of a one year or longer post high school secretarial course, which included typing, may be substituted for the required experience. Additional office clerical experience which included typing, beyond the one year requirement, may be substituted for high school on a year-for-year basis. Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements.

Special Requirements:

  • Experience in assisting on the completion of comprehensive reports that are used for internal and external purposes.

  • Experience in working with accounting systems and understanding financial reports or the ability to demonstrate a proficiency in working with financial information.

Typical Work Activities:

  • Is familiar with and contributes to the successful implementation of the District's Mission and Belief statements;

  • types accounting and financial statements, payrolls, statistical tabulations and data, for letters, memoranda, vouchers, reports, requisitions and other material;

  • reviews accounts, reports and other documents for completeness, accuracy and conformity with established procedures;

  • indexes and files documents and correspondence;

  • searches, locates, and records papers and documents;

  • assembles a variety of data from office records for incorporation into various reports;

  • prepares payrolls and maintains time cards;

  • composes and types routine correspondence;

  • assists in proofreading typewritten and printed materials;

  • answers telephone;

  • gives routine information to the public;

  • makes appointments;

  • operates an adding machine, calculator, copier, computer, or other office machines;

  • collects and maintains records of fees collected by department;

  • operates an alpha-numeric key board to transcribe data to either punch-cards, tapes, magnetic discs or directly to a computer;

  • perform such other tasks and assume such other responsibilities as directed by the Superintendent of Schools or his/her designee.
