Crouse Hospital Surgical Scheduler: Crouse Medical Practice in East Syracuse, New York

GENERAL SUMMARY OF DUTIES: Responsible for scheduling patient surgeries, tests and answering patient questions in a timely and efficient manner. Responsible for secretarial duties to the physicians.

ESSENTIAL FUNCTIONS: 1. Schedules surgeries, outpatient appointments (medical and diagnostic), admissions and set-up pre-op admission clearance as requested. 2. Schedules operative procedures by effectively utilizing and maximizing physician block time. 3. Obtain certification from insurance companies for scheduled surgeries, tests and admissions. 4. Obtains operative reports for patient charts. 5. Responsible for follow up to ensure patients are compliant with orders tests and labs. 6. Sends appropriate paper work to the hospital for scheduled surgeries. 7. Maintains tracking for appointments and assist in scheduling these appointments with any required tests. 8. Schedules referral appointments as requested by physicians. 9. Maintain designated physician’s schedule as individually requested, ensuring that patients are scheduled properly and avoid overbooking. 10. Answers questions regarding patient appointments, procedures and testing. 11. Maintains meeting information in the physician’s schedule. 12. Retrieves fax messages and distributes to appropriate staff. 13. Assists in various clerical duties including filing, ordering copies of image studies, sending out patient releases, sending out new patient paper work and checks for provider’s signatures on papers placed in the patient’s chart. 14. Participates in educational activities. 15. Coverage at front desk as needed. 16. Answer telephones, retrieve and respond to voice messages per office policy. 17. Maintains strictest confidentiality. 18. Rotates office cleaning, garbage and kitchen duty as assigned. 19. Maintains good attendance as an essential element of job performance. 20. Completes any other duties assigned. The jobholder must demonstrate current competencies applicable to job position.

EDUCATION: High school diploma or GED

EXPERIENCE: Minimum of one-year experience in a health-related setting, preferably a physician’s office. Medical terminology, word processing and computer experience. KNOWLEDGE: 1. Knowledge of medical terminology. 2. Knowledge of office procedures. 3. Knowledge of grammar, spelling, and punctuation to type patient information. 4. Knowledge of customer service concepts and techniques. SKILLS: 1. Skill in operating a computer, fax and photocopy machine. 2. Skill in answering the telephone in a pleasant and helpful manner and using a multi-line telephone system. 3. Skill in documentation requirements for the medical record. ABILITIES: 1. Ability to communicate clearly and concisely in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, staff and other customers. 2. Ability to organize and prioritize tasks effectively. 3. Ability to read, understand and follow oral and written instructions. 4. Ability to sort and file materials correctly by alphabetic or numeric systems. 5. Ability to establish and maintain effective working relationships with patients, employees and the public.

ENVIRONMENTAL/WORKING CONDITIONS: Work is performed in an office environment. Involves frequent telephone contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with ill people.

PHYSICAL/MENTAL DEMANDS: Sitting for 7-8 hours/day. Requires eye-hand coordination, finger dexterity. Verbal communications skills include effective and accurate listening. Must be able to view computer screens for long periods. Occasional stress related to workload and customers with problems. Able to lift a minimum of 25 pounds.

Pay Range: $16.50 - $23.00 DOE
