Description of Work Unit

Direct support for faculty, staff, and graduate student instructors is provided through programs that strengthen professional development in areas related to learning and teaching, scholarly inquiry into learning and teaching, course design and development, academic program review and assessment, effective use of learning data to improve instruction, and the university’s instructional technology infrastructure. Direct support for students is provided through programs that support student learning and enrichment, engage students in undergraduate research and artistry, prepare students to apply for nationally/internationally competitive scholarships/fellowships and for graduate and professional schools, offer academic engagement with communities beyond the university, support community-engaged learning, encourage academic integrity, and promote effective use of learning technologies and learning analytics data. The institute houses student support professionals and a large group of instructional designers who assist in the development of face-to-face, blended, and fully online courses.

Position Summary

The Operations Manager plays a critical role in the day-to-day as well as strategic operations of the TILT organization including varied types, modes, and strategies of communication with students, faculty, staff and administrators including use of varied digital approaches and platforms; analysis, coordination, and explanation of TILT projects and events, deconflicting schedules to developing decision matrices and spreadsheets This position actively looks for solutions to problems, takes initiative in developing and communicating choices, and uses a high level of judgment to make autonomous decisions that support organizational functions. The Operations Manager is responsible for the departmental Human Resources processes, including confidential discussions and decisions, fully supports and serves as back up to the Fiscal Officer with full authority and autonomy, and serves as the building proctor for the TILT building which houses three separate administrative and student support units, provides tutoring space for hundreds of students and liaises diplomatically and effectively with diverse populations, including faculty, staff, parents, community members and administrators who visit the TILT teaching and learning space. This position provides administrative support to the department and manages the TILT main office, provides database management, administrative support for the executive director, in overarching management of department operations.

Required Job Qualifications

  • Bachelor’s degree from an accredited institution

  • Proficient in Microsoft Office Suite (e.g., Word, Excel, PowerPoint, One Drive, Teams) and an affinity for learning new technology

  • 3 years’ experience providing administrative/executive assistant support

  • Demonstrated ability to organize and prioritize multiple complex tasks

  • Demonstrated ability to work effectively in a collaborative team environment

Preferred Job Qualifications

  • Professional experience at an institution of higher education

  • Experience with and knowledge of CSU’s administrative systems, including Oracle HR, TimeClock Plus, Kuali Financials, and the Talent Management System

  • Advanced communication and document design ability including knowledge of accessibility features in Microsoft and Adobe products such as Word, Excel, Power Point, and InDesign

  • Knowledge of digital platforms

  • Experience planning and implementing events

  • Ability to problem solve and exercise initiative and independent judgment

Duty/Responsibility

  • Manage front office operations including the following: opening and closing the office, greeting visitors, managing TILT email, phone, and voicemail.

  • Design, implement, and oversee systems to manage Institute records, policies, procedures, and guidelines.

  • Develop, implement, and train others on new procedures for records collection and storage for the unit.

  • As HR liaison for unit, create streamlined procedures for hiring and onboarding new professional staff and up to 140 student staff members a year.

  • Develop procedures and implement new performance management system, including a tracking system, for annual evaluations.

  • Exercise independent judgment when providing information and answering questions for a wide variety of constituencies, from the Provost’s Office to students.

  • Maintain and update department calendars, including appointment scheduling, conference rooms, and classrooms.

  • Manage department activities, schedule classrooms and other space for curricular and extra-curricular activities.

  • Disperse informational material regarding all department programs including directing calls and walk-ins to the appropriate office.

  • Send, receive, and distribute department mail; develop advanced communication approaches and efficiencies.

  • Procure supplies, equipment, and physical improvements for the building and unit.

  • Troubleshoot operations problems as they arise which may include complex decision-making involving insight, judgment, and an understanding of context.

  • Interact with institutional leadership, internal partners across campus, and external audiences.

Duty/Responsibility

  • Serve as point person for the campus-wide student course evaluation system, working with the vendor to update the questions, manage spreadsheets, and administer the survey to all CSU students each semester and answering complex and varied questions from faculty and other university entities.

  • Serve as travel arranger for department, requiring the use of independent judgment to book flights and arrange for other travel needs for employees and guests of TILT .

  • Serve as backup and support for fiscal officer, including managing budgets, reallocating PCARDs, and creating supplemental pay and reimbursement forms.

  • Lead and manage special projects, committees, meetings, and events; including, but not limited to, booking rooms and food for large events, assisting with day-of logistics, coordinating outreach efforts to constituents, and serving as point-person for presenters.

  • Assist with event planning, coordination, organization, and execution, for department events for internal and external constituents.

  • Update and maintain TILT Hiring database, including streamlining hiring processes and forms as needed.

  • Serve as search support to search committees as needed; maintaining all records, posting jobs to recruitment sites, arranging schedules, and coordinating interview logistics.

Duty/Responsibility

  • Serve as building proctor for the TILT Building.

  • Unpack complex facilities requests for the TILT building as a legacy structure with important historical value. Assess and address problems with the building, weighing maintenance and vendor decisions alongside available budget.

  • Serve as senior point person for building related questions from other units in the TILT Building (Student Disability Center and Admissions Marketing and Communications).

  • Develop and enforce a building safety plan for TILT Building and communicate updates to staff, faculty and students when necessary.

  • Surplus equipment, supplies, furniture using the CSU EACR System.

  • Manage keycard system for TILT doors.

  • Manage keys for the department including issuing and returning keys and performing annual key audit.

  • Submit and track facilities maintenance requests.

  • Update display cases each semester based on unit needs.

  • Manage office operations including keys, and coordinate with CSU facilities management on building maintenance and repairs.
