The Office Manager will have a set of primary responsibilities which serve as a set of functions owned by the individual for which they are accountable as well as have the opportunity to grow professionally and take on additional responsibilities.  This position will require onsite support in our Glen Allen, VA office with some flexibility for hybrid work.

Primary Duties/Responsibilities

  • Facilities Management

  • Serve as liaison to Building Management and follow-up facilities adjustments and maintenance

  • Serve as liaison with Security Monitoring company for access cards or related security concerns

  • Assist with in person employee engagements and social events

  • Inventory Management

  • Manage inventory and procurement for office supplies as well as support marketing inventory needs.  

  • Coordinate catering orders for in-house client and staff meetings.

  • Time and Expense Management

  • Monitor submission of weekly time entry and approval

  • Review and approve expenses

  • Maintain forecast alignment with PTO schedules

  • Report on variances to forecast, analyze trends, and provide management with recommendations.

  • Finance and Accounting Support

  • Create and maintain accurate client invoices

  • Work with Finance and Accounting and follow-up with clients to ensure timely payment

  • Ad Hoc Requests

  • Support Ad Hoc requests as directed by Director of Human Resources and Operations. 

The Office Manager will also have the opportunity to cross train in a support role for other areas of Operations.  This will provide breadth of understanding of the Operations functions and enable potential for specialization and career growth in an area of interest.  Additional responsibilities section outlines potential areas of engagement for the Office Manager

Additional Responsibilities:

  • Recruiting and Human Resources

  • Support new hire onboarding in coordination of Recruiting and HR

  • Work with Benefits & Payroll Manager to support employee set up.

  • Responds to employee requests and questions and re-directs to appropriate team members as needed.

  • Operations Process Improvement

  • Document subject areas of responsibility.

  • Review opportunities to improve Operations areas including identification of process improvements, use of automation, and training and communication with others.    

     Required Skills/Abilities:

  • Bachelor's degree in related field and/or 3-5 Office Manager equivalent experience

  • Excellent verbal and written communication skills.

  • Excellent interpersonal and customer service skills.

  • Excellent organizational skills and attention to detail.

  • Working understanding of human resource principles, practices, and procedures a plus.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Ability to function well in a high-paced and at times stressful environment.

  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) or related software.
