Kintetsu World Express (U.S.A.), Inc. Compliance Audit Manager in Grapevine, Texas
PURPOSE OF JOB
To the best of your abilities ensure the regulatory and statutory compliance of the Company’s import clearances filed on behalf of our clients and as presented to US Customs and other Participating Government Agencies; audit and follow up on 100% of all entry transactions; prepare and submit post entry corrections on behalf of the Company and our clients; assist in identifying and providing training to staff and provide technical and regulatory assistance to members of the brokerage staff as provided below.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Audit 100% of all import brokerage entry transactions to ensure compliance with US Customs and all governing regulated agencies rules and regulations, and transaction data accuracy and integrity within the timeline described in Policy 4.05; comply with Company and client defined Standard Operating Procedures (SOP’s).
Identify and document audit errors and address deficiencies through training, corrective action, up to and including recommendations for disciplinary action as necessary; communicate with customers to obtain and develop robust documentation and procedures to promote compliance with US Customs and other government agency entry requirements in alignment with Company’s standards and client expectations.
In accordance with Company’s Standard Operating Procedures and all applicable government regulations; process ACH Daily and Periodic Monthly Statements, audit and payment authorizations; manage the branch 1-31 statement bin; manage the 6th day duty due report to identify and account for any missing entry transactions required for statement processing; and provide copies of Preliminary and or Final ACH statements to Company Corporate Accounting as required and to clients upon request.
In accordance with Company’s Standard Operating Procedures and all applicable government regulations; prepare and present all Post Entry Corrections of entry records and transactions as required. Maintain the Branch Post Entry Log in alignment with policy 4.7 of the Import Brokerage SOP; provide an updated Branch Post Entry Log to the District Permit Holder and Asst. Branch Manager – Brokerage at the end of each month.
Timely respond to communications and requests from clients, regulatory agencies, other Company branches and the Corporate Trade & Compliance Group as related to those directed compliance activities herein contained and in accordance with KWE standards
As required during scheduled/unscheduled PTO; collaborate with the District Permit Holder and Operations Manager - Brokerage to setup new customers with all required documentation; obtain and define handling procedures, tariff databases, credit limits, etc. Secure delivery, billing and payment requirements and set up profiles for entry processing and handling
Collaborate with the District Permit Holder and Operations Manager – Brokerage to direct internal import compliance activities and staff training (as identified through daily audit findings) to ensure that KWE Branch maintains a 95% level of compliance in all entry transactions filed.
Maintain and ensure branch – client POA’s and Surety Bonds are current and process renewals as required.
Assist the District Permit Holder and Operations Manager – Brokerage during times of scheduled and unscheduled staffing shortages, (PTO) in processing and submission of Customs entries with U.S. Customs & Border Protection (CBP) and other agencies.
Collaborate with the Operations Manager - Brokerage in the preparation of individual performance reviews, disciplinary actions, coaching and staff cross training periodically where required and assist subordinates with resolution of issues.
Provide monthly compliance performance reports to Operations Manager - Brokerage on individual staff performance and ABI/Customs entries/rejects, and daily audit errors/findings and post entry filings.
Maintain thorough and up to date knowledge of KWE policies and procedures, and regulatory and industry updates
Perform that work/other functions as may be assigned from time to time by Branch or Corporate Trade & Compliance Management
Supporting Branch and Brokerage manager on daily tasks when requested.
BASIC QUALIFICATIONS & REQUIREMENTS:
List any required educational attainments (degrees, certificates, licenses, etc.): Customs Broker License required,
List any required skills (computer, machinery, typing, etc.): Proficiency in the use of Microsoft Office, Word, and Excel, Working knowledge of ABI entry processing

List any preferred skills (computer, machinery, typing, etc.): Intermediate knowledge of Microsoft PowerPoint and Access preferred
