Title: Office Engineer                                                                                                         

Reports To:                Assistant Project Manager (APM)                 

 Status:                        Regular, Full Time, Exempt                          

Primary Function:    Provide administrative support to one or more contracts.

 

Duties and Responsibilities:

 

The following list is an outline of duties and responsibilities attached to this position. It is understood that this list is intended to be representative of the functions that may reasonably be expected of the position. It is not intended to be comprehensive.

 

  1. Type a variety of documents. Set up and maintain sophisticated filing systems, go paperless, or streamline processes.
  2. Screen phone calls and schedule jobs over the phone; handle routine items, pass others on to supervisor.
  3. Maintain Crew Roster, update and distribute daily location sheet, update daily job dashboard, enter and update Miss Utility Tickets, enter paving tickets, IRR’s, pay sheets, create paper and electronic job packets, and other administrative responsibilities as assigned.
  4. Review contracts and understand contractual obligations for administrative reporting and invoicing.
  5. Tend to customer service issues through resolution and/or partner with supervisor for resolution.
  6. Perform daily audits of paperwork, track job completion and paperwork receipt.
  7. Support field employees with administrative training and paperwork execution and training.
  8. Travel and working hours between B. Frank Joy, LLC. Hyattsville office and Baltimore office are required each week.
  9. May perform additional duties as assigned by supervisor.

 

SKILLS, KNOWLEDGE, QUALIFICATIONS, & EXPERIENCE:

 Educational and experience requirements include:

  1. 4 or more years business school or equivalent combinations of training and experience. 
  2.  Minimum 4 years administrative experience.  Knowledge of general business and company procedures. 
  3.  Proficient typing (65-70 WPM) and organizational skills required. 
  4.  Excellent communication and interpersonal skills are essential. 
  5.  Ability to maintain confidentiality always is critical.
  6.  Must be courteous, professional and diplomatic in dealing with external contacts.
