Kelly Services Administrative Assistant in Irving, Texas

Job Title: Administrative Assistant I

Purpose of Position: The Administrative Assistant will be responsible for handling front office reception and general administrative duties. This role serves as the first point of contact for visitors and supports the smooth operations of the office by managing various clerical tasks.

Tasks and Responsibilities:

  • Manage office reception area, including daily opening and closing.

  • Answer phones and route calls to the appropriate party. Create and maintain the office telephone directory and distribution lists.

  • Greet visitors and ensure that the visitor check-in process is completed.

  • Maintain a log of employee attendance and rotation schedules.

  • Schedule and help manage meetings and conference rooms.

  • Handle requests for the issuance of corporate conference bridges.

  • Sort and deliver office mail and packages, and prepare outgoing mail for pick up.

  • Maintain office supply inventory and order supplies as needed.

  • Communicate facilities issues to building management or corporate facilities as appropriate.

  • Coordinate with Human Resources to maintain employment posters and distributions for the office staff.

  • Provide administrative support to Finance Department leadership as needed or as directed by the Manager of Executive Administration.

  • Manage visitor badges for internal teammates and external customers.

  • Facilitate all invoices for payment with the Accounts Payable team.

  • Assist with lunch and catering orders for Senior Leader meetings.

  • Collaborate with the Manager of Executive Administration for all team and culture-building events.

Minimum Education:

  • High school diploma or Certificate of High School Equivalency (G.E.D.).

  • Two to three (2-3) years of related experience and/or training; or equivalent combination of education and experience.

  • Aviation terminology/background is a plus.

Minimum Experience:

  • Two to three (2-3) years of relevant administrative experience.

Knowledge, Skills, and Abilities:

  • Fluency in English, with strong verbal and written communication skills.

  • Excellent organizational skills with the ability to multi-task.

  • Ability to interact with various levels of management in a professional manner.

  • Adaptability to changing schedules and high-pressure situations.

  • Proficiency in computer skills with good typing/keyboarding abilities.

  • Ability to work unsupervised as needed.

Physical Demands and Work Environment:

  • Regularly required to use hands to finger, handle, or feel; reach with hands and arms; and communicate.

  • May be required to stand, walk, sit, and lift at least 10 pounds.

  • Specific vision abilities required include the ability to view monitors, technical documents, and reference material.

  • The noise level in the work environment is typically moderate.
