Position Summary:

In its continuing mission to provide cutting-edge treatment for cancer, diabetes, and other life-threatening diseases, City of Hope is committed to innovative evaluation and analysis of treatments, cost, patient outcomes and patterns of care. To that end, City of Hope has established the City of Hope Disease Registry to identify and integrate existing clinical patient data into an institution-wide repository for research, quality and outcomes purposes. The Disease Registry Systems Specialist will be a key resource to help us accomplish these goals, serving as an expert in disease domain areas, and evaluating, proposing, and overseeing the implementation of innovative, cost-effective approaches to electronic data extraction. He/she will conduct workflow analyses, business process re-engineering, and procedure/policy documentation to help streamline data documentation by those who generate such data, including but not limited to physicians, investigators, pathologists, and the Disease Registrars.

Key Responsibilities include:

  • Apply clinical domain knowledge and system analysis expertise to help design and set policy for comprehensive disease registry information systems.

  • Independently review results of NLP and text mining queries to validate data extraction of unstructured text into codified data elements.

    Apply domain knowledge to develop forms, data dictionaries, and database design, following national ontological standards.

  • Document system requirement specifications and test use cases.

    Create documentation, specifications, and case studies for Disease Registry databases.

  • Take the lead in training and guiding the Associate Disease Registry System Specialist.

  • Provide coverage for the Senior Disease Registry System Specialist as needed. Conduct special projects as a member of the team with biostatisticians, Data Mining staff, Disease Registry Administrator, and Division Managers.

  • Provide ad hoc information and reports based on requests from Disease Registry team and research investigators.

  • Interact directly with physicians, investigators, biostatisticians, and various other members of the organization to understand and document data management requirements, and recommend optimal data workflows.

  • Serve as a communication bridge between physicians, biostatisticians, and end users to ensure that user requirements and database development specifications are accurate.

  • Develop quality assurance reporting mechanisms, and compare and validate data elements across enterprise data sources.

  • Create data validations, and use independent judgment to resolve data quality queries and data inconsistencies across various data systems enterprise-wide.

  • Maintain current and accurate protocol documentation and assist investigators with IRB submissions and renewals, recommending and incorporating all pertinent protocol changes and amendments.

  • Work independently and be self-motivated in prioritizing and following through on assigned projects.


Basic education, experience and skills required for consideration:

  • Bachelor’s Degree required, Master’s Degree or certification preferred

  • 5 years’ experience may substitute for minimum education requirement

  • 3 years’ experience working as a Disease Registrar or related position in the oncology setting. If education requirements are not met, at least five years’ experience as Disease Registrar or similar position in oncology setting required.

    Required Certification/Licensure:

    Disease Registry related certification (Such as: SOCRA, ACRP) within 1 year; to be renewed every 3 years

    Preferred education experience and skills:

  • Medical Terminology.

  • Oncology research, Disease Registry Data Management, Health Information Systems, or related health research field

  • Experience in database analysis and systems evaluation.

  • The ability to comprehend what is pertinent data from medical record

  • Ability to read, write and comprehend medical terminology.

  • Excellent oral/written communication and organizational skills.

  • Excellent reading comprehension.
