Meeting & Events Coordinator - Destination Kohler

Opportunity

Plan, coordinate and service client events for group and social business at The American Club and the Inn on Woodlake. Focused sales effort to maximize catering business throughout Destination Kohler. Complete Administrative duties based on group needs.

Specific Responsibilities

Sell all resort activities and Hospitality business outlets.

  • Represent client to ensure a successful, seamless event while maximizing their objectives.

  • Represent and be a liaison for the resort and its many outlets and associated amenities to the client.

  • Communicate key dates to clients to ensure we are maximizing room nights, catering revenue while controlling costs.

  • Act as on-site contact.

  • Maximize profit.

  • Conduct wedding tastings for clients.

  • Ensure all Prime Time Selling Time methods are being observed for maximum efficiency and benefit to internal and external customers.

  • Maintain exceptional knowledge of all Kohler Hospitality businesses: history, business operations.

  • Utilize all hospitality resources responsibly.

  • Provide consistent and timely delivery of services to clients.

  • Update and maintain “resource library” for vendors (ie. Entertainment, linen, etc.)

  • Prepare & Communicate Group Quotes

Communicate with internal customers and relevant departments.

  • Ensure prompt and timely distribution of banquet event orders and group resumes.

  • Act as on-site contact.

  • Confirm guarantees and changes to appropriate departments.

  • Achieve individual and team goals as outlined in departmental goals/objectives.

  • Assist sales partner to maximize room nights.

  • Attend and participate in in-house meetings.

  • Maintain and follow established codes of conduct.

  • Follow up on all accounts receivable billing concerns within 24 hours.

  • Conduct pre- and post-event meetings and provide feedback to internal clients.

Administrative Responsibilities

  • Complete banquet events orders and group resumes a minimum of 21 days prior to group arrival.

  • Preparation of Printed Materials - Menu Cards, Place Cards, Table Numbers, Vouchers,

  • Luggage Pull Letters, Pre-Merge Group Resumes

Typical Hours for this position are Monday-Friday, 8am-5pm. Occasional nights and weekends are required.

Skills/Requirements

  • Minimum of a high school diploma. College degree in Hospitality Management preferred.

  • 1+ years of Hospitality experience. Catering and Conference Service experience preferred.

  • Knowledge of computer software to include Microsoft Office

The hourly range for this position is $22.95 - $28.70. The specific hourly rate offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. Available benefits include medical, dental, vision & 401k.
