JOB SUMMARY

Provides support for reception, mail services, phone, meeting rooms and location services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Arrive office well in time @ 9:00 am.

  • Greet and welcome incoming customers & guests.

  • Answer all incoming telephone calls and redirect them to concern Business unit/Concerned person.

  • Receive letters, packages etc. on the counter desk.

  • Maintains neat appearance of reception area, requests housekeeping services as needed.

  • Monitor office receiving supplies and prepare (Good Receiving notes) GRN.

  • Keep GRN records and files updated.

  • Perform other clerical receptionist duties such as filing and photocopying.

  • To arrange the reservation of meeting /conference room (as and when required)

  • Receiving and sorting daily mail with respect to respective Business units.

  • Provide back up and manage out going and incoming mails (distribution) during absence of mail room executive.

  • Periodically inspects reception area equipment (Time stamp machine) to ensure good operating condition. Arranges equipment service as needed in coordination with the facilities team.

  • Reporting any health and safety Hazard to the facility supervisor for immediate resolution.

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position.

QUALIFICATIONS

Bachelor’s should have excellent presentation and communication skills , Computer Literate. Experience of working in excel. Should be capable of working in MS power Point

EDUCATION and EXPERIENCE

Bachelor’s with Minimum 2-3 Years of working in a similar role.

CERTIFICATES and/or LICENSES

None.

COMMUNICATION SKILLS

Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor with a strong, professional customer service orientation.

FINANCIAL KNOWLEDGE

Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES

Good skills with Microsoft Office Suite (Excel). Ability to work flexible work schedules based on office needs.
