Administrative Assistant

$25.00/ hr.

Lehi, UT

Monday- Friday 8:30 am to 5:00 pm

A small boutique law firm specializing in providing expert advice and representation of businesses, investors, entrepreneurs, and others on a wide variety of business transactions, disputes, and issues is looking for an Administrative Assistant. The Administrative Assistant brought on will serve as the heart of the firm, keeping the office running, as we focus on providing the highest level of service to our clients. We need an upbeat, friendly, organized, and proactive administrative assistant to join our team. This person will provide support in three main areas: Reception, Legal Assistance, and Office Management.   • Greet visitors warmly and make sure they are comfortable

  • Receive packages and manage incoming and outgoing mail

  • File both digital and physical copies into their appropriate files

  • Manage payroll, collections of hours, and data entry on complex and aged Excel spreadsheets

  • Assist with billing, invoicing, 401K distributions, and paying bills

  • Office management tasks and legal assisting

  • Communicate with property management representatives and vendors as necessary

  • Review and approve invoices for regular office expenses

  • Run errands for the office as needed

  • Work with clients to receive and process payments

  • Management of company spreadsheets

  • Keep the office clean and tidy

Skills and Experience Required:

  • Ability to multi-task and prioritize shifting responsibilities to meet deadlines

  • Three or more years of office experience in an administrative or office management role with increased responsibility

  • Strong computer skills are required for this position, specifically with Excel, Microsoft Office, QuickBooks, Drop Box, Google Sheets, and Adobe programs.

  • Exceptional interpersonal and communication skills written and orally

  • Must be detail-oriented and have strong organizational skills

  • Knowledgeable in basic accounting and financial management

  • Poise and maturity to be a representative to clients and potential employees including the ability to articulate business goals, vision, culture, and environment

  • Desire to promote cohesion and unity among the team and be a positive and encouraging influence in the office

  • Demonstrated ability to identify issues and develop solutions in a proactive manner

  • Lighthearted personality with a sense of humor

  • Able to ask questions and be invested in their own success and the success of those around them

  • Must be a self-starter that is punctual, dependable, honest, and able to work independently and with a team

  • Phenomenal work ethic and takes great pride in the work and service they do and takes accountability
