Estates Manager Lead (Occupier Accounts) Associate Director

Role Purpose

Working for a pre-eminent global investment banking client. The candidate will work directly alongside the wider CBRE delivery team in a role with substantial client and onsite exposure. The Estates Management Team are responsible for managing the property estate for the client across EMEA, with a focus on maintaining strong integration between CBRE’s respective service lines as part of the integrated Global Account. The role provides a unique platform from which the successful candidate will gain significant learning and development opportunities, as well as profile enhancement and future progression.

Key Responsibilities:

  • Partially client seconded, sitting in client’s London HQ, interacting and collaborating with key client stakeholders and other CBRE service lines on a daily basis

  • Working on systems within the client environment

  • Ensuring adherence to Estate Management and wider global account playbooks, processes and procedures

  • Preparation of presentations and business cases for client real estate governance approval. Support may include financial analysis and preparation of presentation materials

  • Functioning as part of a global CBRE account with various embedded CBRE roles, the role supports significant integration and coordination between clients, regions and CBRE service lines

  • The role will support Governance and Risk Management for the Transactions team

  • Annual Budgeting engagement. 3 Year outlook reviews and report preparation on the building budget

  • Overseeing Rates Management. Co-ordinating Rates Team Review and submission of property data related to rates (UK&I)

  • Support the clients annual Budgeting cycle and feed into the client’s 3 Year outlook

  • Engagement in the full range of contracted Estates Management (EM) services

  • Routine liaison/correspondence with client, facilities managers, solicitors, tenants, landlords, third parties and external valuers

  • Adherence to Estate Management playbooks and all processes and procedures

  • Undertake property inspections and submit reports in compliance with client KPI specifications and to ensure landlord, tenant and building compliance and advising on portfolio opportunities

  • Request landlord’s consent to alterations, assignments, change of use and under-lettings. Manage and process similar applications from subtenants

  • Maintain strong relationships with Hub Leads, Associate Directors, SSC and internal CBRE teams to facilitate operations and up/cross selling of other CBRE offerings

  • Authorise head-lease rent and superior landlords’ service charge and insurance payments

  • Engagement in the service charge challenge process. Analysis of landlord’s service charge information. Challenging budgets and reconciliations, as appropriate, in conjunction with Portfolio Services service charge specialists, if applicable

  • Minimise sub-tenants’ arrears and deal with tenant account queries, in conjunction with client accounting team

  • Negotiate and complete “minor” agreements, e.g., car parking licences, storage accommodation, communications facilities, wayleave agreements. Managing common area service charges and building management in conjunction with on-site staff

  • Where appropriate, instruct other professional colleagues within CBRE offices in relation to disposals, rent reviews, lease renewals, planning issues, dilapidations etc. and assisting with the delivery of those services to the client

  • Obtain formal client approval to proposed decisions or recommendations and manage the approval process

  • Co-ordinate instructions on the client’s property closures to ensure all parties are informed promptly and all necessary actions are taken within specified timescales

  • Ensure that all data held for properties within the allocated region on the Database is up to date and accurate

  • Undertake lease audits

  • Operate within behavioural and procedural guidelines, including the use of systems (e.g. OPUS, Database tools)

  • Demonstrated sound technical expertise (qualified surveyor or qualified by experience)

  • Completes tasks within broad DA framework

  • Owns delivery of low risk transactions/standard EM tasks/able to build effective working relationships with third parties

  • Completes tasks in a proactive, timely and effective manner

  • Identifies and manages client expectations, understands the broad contractual framework is able to identify client conflict issues, contract risks and opportunities and recommend actions to address. Level of client contact may increase

  • Demonstrates a good understanding of TAP division at a local level with solid knowledge of wider business and global network in order to cross sell to clients

  • Internal networking is focused on individual needs

  • Contributes to BD activity as required, including taking part in pitches if appropriate (this is expected in TM but PS may require more senior individuals for larger pitches)
