PA to the Deputy Editor - MAT cover

The Times is seeking a personal assistant to support the deputy editor of The Times on a nine month maternity cover contract.

You will be the first point of contact for the deputy editor, providing professional support which includes complex diary management and inbox management, general administrative support and running errands.

The successful candidate will be an experienced PA with superb attention to detail, the ability to work autonomously and the skill to juggle conflicting priorities with ease.

Applicants should have expert knowledge of the Microsoft Office suite, Google docs and Gmail.

Responsibilities

  • Provide professional support primarily to the deputy editor of The Times , but also provide secondary support to the Editor and the executive editor - alongside the EA to the Editor

  • Deal with all correspondence and act as a first point of contact for the deputy editor and the Editor's office, filtering calls on landline and mobile

  • Extensive diary management, itinerary organisation, meetings and travel bookings, ensuring the deputy editor has everything they need in a timely fashion

  • Run errands, including collecting guests, lunch and other ad hoc errands

  • Assist the deputy editor with research and organise archive files and cuttings when required

  • Complete expenses on behalf of the deputy editor and ensure invoices are processed efficiently

  • Other ad hoc administration tasks such as stocking up stationary and reporting facilities and IT issues as well as ordering equipment and handling post

  • Keep up to date records and files

  • This role is based in our newsroom at London Bridge

Skills and experience

  • Experience providing support to senior people, ideally in the media industry

  • Keen eye for detail and a high level of discretion

  • Expert knowledge of Word and Excel, Google Docs and Gmail

  • Well-organised, calm under pressure and able to multi-task

  • Reliable and prepared to put in extra time and effort where necessary

  • Positive and approachable individual and a team player

  • An ability to work autonomously with minimal supervision

  • A proactive approach to work and regularly reviews how things are done to maximize efficiency
