JOB REQUIREMENTS: Job Summary: Procurement is a vital part of post-award research administration and the person responsible is an integral position in the Department of Physics. This position has primary responsibility for all procurement in the department. This position averages 12 purchases per day every working day of a year, approximately 1,700 purchase orders and 1,500 PCard transactions per fiscal year. This is a non-trivial role. This position works directly with faculty, staff, and students, both graduate and undergraduate, to buy the goods and services necessary to fulfill the research, teaching, and outreach missions of the department. We have delegation up to \$25K per purchase (most campus units are at \$5K). Anything over \$5K requires a simplified bid with a minimum of 3 bids. We work closely with the central campus scientific procurement agents on orders from \$25-50K, also requiring a minimum of 3 bids. This position is bound by State of Wisconsin and UW procurement rules and regulations and the incumbent is expected to attend regularly held central campus procurement meetings. Purchases are done via credit card, via hosted catalog in ShopUW+, and via purchase order in ShopUW+ (soon to be Workday). In addition to purchasing, this position receives the goods, checks them in, and makes receipts as needed so Accounting Services can pay the invoices. This position is also the primary contact for shipping goods out of and occasionally into the department, both domestic and internationally. Some shipping requires interaction with the Risk Management office, and some international shipping requires the assistance of our customs broker. As a member of the financial services team in the department this position participates in post-award audits on an as needed basis, providing post-award information to faculty, the College, and Research and Sponsored Programs on an as needed basis.
