Deputy Register of Deeds Clerk - $17.04/hour. Dayshift-Monday through Friday. This is temp to perm for the right candidate.

  • Position requires a high school diploma or equivalent.

  • Preferred: experience with real estate documents and other property descriptions.

  • Preferred: experience in an office of a Register of Deeds or closely related setting.

  • Required: aptitude and ability to perform work duties outlined above with a keen attention to detail. General Summary Under the supervision of the Register of Deeds regularly performs the functions of a Deputy Register of Deeds in the office which includes entering data on recorded documents to the computer, assisting people at the counter by checking and recording documents, conducting file searches regarding property, and providing telephone assistance. Essential Functions 1. Assists people at the counter by recording documents after verifying information such as names, addresses, marital status, acknowledgments and calculating and collecting fees. Notifies customer of changes that are required, applies recording data to documents and makes copies for title companies, equalization and the townships. 2. Instructs customers in the use of departmental resources including tract indexes, grantor-grantee indexes and the department's computer system. 3. Answers telephone calls and provides information on documents that have been recorded, fee schedules and other information related to recording property. Conducts file and computer searches for callers. Prepares billings on written searches. 4. Becomes familiar with documents, such as deeds, mortgages, liens and ensures that they meet the statutory requirements for registration, whether submitted by original wet ink signature and notarization, or e-recording through one of the Michigan approved vendors list. Reviews documents in order to accept or reject submitted documents based on Michigan recording requirements and stays up to date on any legislation changes. Records documents after verifying information. Notifies customer of changes that are required, applies recording data to documents and makes copies for title companies, equalization and the townships. 5. Receives documents that place and release state and federal liens, examines them for conformance to legal requirements and authenticity and records and indexes them. 6. On behalf of the County Treasurer, certifies warranty deeds which include checking tax history and determining if legal description on deed is same as tax base. 7. Researches information on property, checks on the status of deeds, determines grantor-grantee, mortgagor-mortgagee, surveys, land corners and other information and answers questions related to departmental operations. Conducts searches by tract indexes as necessary. 8. Enters information from documents to the computer, including the type of document, date of recording, liber and page or document number, legal description, fee amount, names and other vital information. 9. Participates in the operation of the department's database; the image scanning. Other Functions 10. Other duties as assigned.
