HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The AA will support a unit that is composed of a large group of staff and contract officers, including multiple officers at the GS-15 and Senior Executive levels, and interacts on a daily basis with Sponsor front offices

  • The Administrative Assistant (AA) will be a key member of the departmental support staff, assisting a staff

  • Special Assistant and Chief of Staff to complete a wide range of administrative support tasks for the broader unit

  • The AA resource will act on direction from the Special Assistant and the Chief of Staff and then implement a range of tasks independently

  • Work involves regular interaction with senior managers and visitors

  • Work will be primarily performed in a single office, with some requirements to deliver or retrieve materials to or from other offices in the same building

  • Work will not require travel to other buildings or locations or require heavy lifting

  • The AA will need to have experience using Microsoft Outlook, Microsoft Word, and Microsoft Excel, as well as experience filling out web-based forms and using web-based applications

  • Work will involve a range of other commercial applications and Sponsor databases and systems; preferably the AA will have some familiarity with these, but training can be provided if needed

  • Training for Sponsor specific systems is 1-2 days, located at Headquarters and is moderately complicated, requiring excellent attention to detail and some critical thinking, as some training is focused on the rnles and procedures associated with sensitive databases

  • Work will also include handling sensitive materials; prior experience in the Sponsor Organization / Partner Organizations, working with sensitive materials (classified, legal, health, financial, etc.) materials, or serving as an access control officer is preferred

  • A primary task of the AA will be to manage the department staff's accesses to sensitive databases and.generate, track, and implement the unit's requests for accesses, in coordination with the Special Assistant and Chief of Staff

  • Work includes drafting and submitting requests for access on behalf of department staffers, under the guidance of the Chief of Staff, tracking and following up on access requests as needed, using a web-based system to check individuals' accesses and respond to data calls, and prepare, disseminate, and electronically file Sponsor forms

  • Additional day training that will be provided

  • A primary task of the AA will be to manage the supply inventory of the department and, in consultation with the Special Assistant, order additional supplies

  • Work includes organizing and arranging department office supplies, tracking supply needs and coordinating with department staff to evaluate additional needs, and proposing supply orders to the Special Assistant and placing and tracking supply orders in coordination with the Special Assistant

  • A primary task of the AA will be to manage the department staff's accesses to sensitive databases and generate, track, and implement the unit's requests for accesses, in coordination with the Special Assistant and Chief of Staff

  • Work includes drafting and submitting requests for access on behalf of department staffers, under the guidance of the Chief of Staff, tracking and following up on access requests as needed, using a web-based system to check individuals accesses and respond to data calls, prepare, disseminate, and electronically file Adobe forms, and prepare reports.

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • Start between 0730 and 0900 and ending no earlier than 1530

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site
