Health First Office Tech II - Patient Registration in Melbourne, Florida

*POSITION SUMMARY: *

To be fully engaged in providing Quality/No Harm, Customer Experience, and Stewardship by: providing exceptional support to the assigned department. Greets and performs patient registration and scheduling in a courteous and professional manner and accurately processes patient charts, appointments and telephone calls.

PRIMARY ACCOUNTABILITIES:

*Quality/No Harm: *

  • Assists with maintaining a clean work area.
  • Assists with area clerical duties such as typing, photocopying, filing, scanning and faxing documents, medical records, reports and other materials. Also may assist with data entry into reports and other scheduling duties as defined by the department or clinic.
  • Prints, sorts, and organizes paperwork, reports and/or materials to be sent out.
  • Prepares outgoing correspondence to include folding, stuffing, and postage stamping.
  • Mails/sends out or distributes paperwork, reports and/or materials as directed by the department needs.
  • Requests materials or information, logs receipt appropriately per department guidelines.
  • May place calls to other departments or outside organizations on behalf of department to assist with coordination of department activities if requested.
  • May be responsible for mail pickup.
  • Assists other clerical staff with clerical duties as time permits. May provide backup coverage when needed.
  • May assist with completion of paperwork, pulling information from files or processing of paperwork, materials or patients.
  • Responsible for assisting with the maintenance of area files and filing system.
  • Shows commitment to individual and departmental Continuous Quality Improvement and organizational operational effectiveness.

*Customer Experience: *

  • Schedules patient or customer appointments and verifies insurance information per office procedures. If needed, calls and confirms appointments the day before reminding patient of instructions or to bring needed information. Assemble charts and provide support follow-up to clinicians, as needed and per directions.
  • Provides general reception duties. Greets and assists patients or customers and visitors in a timely and courteous manner. Answers telephones properly, courteously, and tactfully dealing with the public, physicians, outside businesses, and other departments.
  • Directs calls to the appropriate party and transfers the call when appropriate. Takes complete and accurate messages for area personnel not available.
  • E-mails and alpha pages nurses with patient calls per instructions. Documents if needed in patient file. Responds to phone messages in a timely manner.
  • Logs in "arrived" patients as needed, may register patients, updates insurance information and other demographic information in computer. Enters this information on new patients. Obtains authorizations on managed care accounts requiring authorizations.
  • May perform initial "patient set up" getting patients vital signs and patients into room ready for physician as need arises. May hand prescription drugs, contrast solutions to patients per office guidelines.
  • Demonstrates a good general knowledge of area of responsibility and able to answer routine questions from customers.

*Stewardship: *

  • Order and maintain adequate amount of medical and office supplies.
  • May maintain documentation of service on equipment and reports all malfunctions of equipment to the appropriate area, supervisor and/or associate.
  • Performs other duties as requested by area supervisor and area personnel.

QUALIFICATIONS REQUIRED:

  • High School Graduate or equivalent is required.
  • No prior experience needed, on-the-job training provided.
  • Knowledge of Medical Terminology and anatomy may be required as dictated by department.
  • Ability to read and write at high school level.
  • Ability to operate computer, copy machine, Dictaphone, typewriter, and fax machine.
  • Ability to maintain confidentiality at all times and follow Health First's confidentiality guidelines.
  • Ability to work well with others.
  • Good organizational and communication skills.

  • Ability to bend and stoop to perform job.
  • Ability to meet additional demands and lifting requirements as defined by the department.
