The responsibility of the Project Control Management Assistant is to assist in maintaining the systems and processes required for conducting LCP projects. These activities encompass the various components of Project Control Management of all activities linked to: PO management as per requirements/needs, subsidies of the project (documentation, schedule and coordination) maintaining electronic and paper files, and other clerical and administrative duties as required, other administrative support required to the project.

Your key responsibilities

  • Procurement

  • Creation of shopping card and check cost details in SAP

  • One of the main responsibilities is monitoring Purchase to Pay process.

  • Purchase requests: Creation of requisitioning/purchasing documents in the applicable systems, including collection of required ERP (SAP) data @ contractors and vendors and including expediting/chasing of dsm-firmenich approvers. Expediting and goods receipt: Contact supplier/vendor for confirmation. Depends on the set up of system, may require creation of GG in the applicable system.

  • Payments: Manage invoice flow of contractors and vendors. Support in solving issues in the PtP process.

  • Liaison with Finance and Accounting and Purchasing departments on relevant payment, invoices etc. topics.

  • Subsidies, Cost Control and Grant Forecasting plan.

  • Identification and classification of expenses envisaged in the Industrial Investment Project

  • Collection of accounting and technical documents necessary for documenting the expenses of the approved Industrial Investment.

  • Support in holding meetings with the consultants/authorities for the project.

  • Assist as required in tracking and reporting the expenses of the project.

  • Support the organization and implementation of inspections linked to the Industrial investments in close collaboration with the external consultants.

  • Monitoring and management of the grant to best harmonize the financed plan with the needs of evolution and possible modification of the industrial investment program.

You bring

  • College or Bachelor degree with business administration/accounting major and at least 5 years of experience in similar roles.

  • Have sufficient experiences at CAPEX project to support project management and project control management activities as mentioned above.

  • Good knowledge on Microsoft applications (World, Excel etc.) and commonly used project management accounting system (SAP, ERP as example).

  • Italian speaker and excellent knowledge of the English language.

  • Independent, pro-active, reliable and accurate.

  • Good organizational skills.

  • Good leverage with contractors and vendors.

  • Good organizational and stakeholder management skills with teamwork spirit and results driven orientation.

  • Enthusiastic to embrace change and agile to adopt new ways of working, with ability to learn and adapt quickly but meanwhile with attention on details.
